Overview
We are seeking a highly organized and proactive Equipment/Fleet Coordinator to manage the daily operations of our construction equipment and vehicle fleet. This role is essential to keeping our job sites running efficiently by ensuring that all machinery, trucks, and related assets are maintained, compliant, and delivered where they’re needed—on time and in good working condition. The ideal candidate will have strong logistical skills, a solid understanding of construction equipment, and the ability to work closely with field teams, mechanics, and vendors in a fast-paced environment.
Key Responsibilities

Coordinate the scheduling, dispatching, and tracking of company-owned construction equipment and fleet vehicles across multiple job sites.
- Maintain accurate records of equipment locations, usage hours, mileage, and availability using fleet management systems or spreadsheets.
- Schedule and monitor routine maintenance, inspections, and repairs in coordination with in-house shop personnel or external vendors.
- Ensure all equipment and vehicles meet safety, DOT, and environmental compliance standards; maintain up-to-date registration, permits, and certifications through DMV.
- Track and report fuel usage, service history, and repair costs for budgeting and forecasting purposes.
- Monitor idle or underutilized equipment and recommend redeployment, rental, or disposal strategies to maximize fleet efficiency.
- Coordinate the delivery and pickup of equipment to and from job sites, including scheduling transport with in-house drivers or third-party haulers.
- Assist with inventory management of attachments, tools, trailers, and smaller jobsite assets.
- Support incident reporting and insurance claims related to equipment damage or vehicle accidents.
- Contribute to fleet improvement initiatives, including equipment upgrades, replacements, or technology adoption (e.g., GPS tracking, telematics).
- Keep contacts for various mobile mechanics based on job locations.
Communication & Coordination

Serve as the main liaison between the field, shop, dispatch, and project management teams.
- Respond promptly to job site requests for equipment, attachments, or repairs.
- Communicate equipment availability, downtime, delays, or breakdowns to stakeholders as needed.
- Coordinate closely with mechanics and service teams to minimize equipment downtime.
- Work with third-party vendors for hauling, rentals, inspections, and compliance-related services.
- Participate in planning meetings to forecast equipment needs for upcoming projects.
- Maintain clear, timely documentation and status updates across all equipment and fleet activity.
Compensation: $95,000.00 - $120,000.00 DOE
