Job Overview:
The Estimator is responsible for bidding all Work Orders (WOs) and Request for Proposals (RFPs) classified as WOs across the organization. This includes establishing client-specific pricing in partnership with Account Managers, developing accurate and detailed Scopes of Work (SOW) aligned with both client expectations and company standards, and producing pricing that supports client needs while achieving company profit margin goals.
This role serves as a key contributor to operational and financial success by ensuring all estimates are accurate, competitive, and executable, while maintaining consistency across clients, vendors, and service lines.
Job Responsibilities:

Review all vendor-submitted estimates to ensure accuracy, completeness, and alignment with client expectations and current industry pricing

Collaborate with Service and Project teams to clarify scope details, resolve discrepancies, and align on client expectations versus vendor submissions

Communicate effectively with vendors and internal stakeholders regarding estimate revisions, clarifications, and scope adjustments

Partner with Account Managers to understand client-specific expectations, pricing structures, and acceptable markup thresholds

Develop and apply appropriate disclaimers to mitigate risk and protect the organization from unforeseen or adverse project outcomes

Create clear, detailed, and standardized Scopes of Work (SOW) using approved company verbiage and bidding frameworks

Develop and maintain standardized bidding tools, including pricing templates, system-based pricing sheets, and client-specific SOWs for recurring work

Negotiate pricing with subcontractors and vendors when required to ensure competitive and profitable project execution

Analyze labor, materials, equipment, and subcontractor/vendor pricing to build complete and competitive estimates

Ensure all bids are completed within established KPI timelines to support operational efficiency and client responsiveness

Submit all estimates for Account Manager review prior to client delivery

Deliver finalized proposals to clients in accordance with their preferred submission methods and platforms

Ensure all estimates align with company margin targets and financial performance goals

Identify scope gaps, operational risks, and opportunities for cost savings or value engineering
- Maintain consistency and standardization in pricing methodologies across clients and service lines

Provide detailed cost breakdowns and justifications for high-value or complex bids

Support the development and implementation of estimating tools, templates, and best practices
Financial & Accuracy

Estimate Accuracy: Variance between estimated vs. actual costs (Target: ±10% or better)

Gross Margin Achievement: % of jobs meeting or exceeding target margins
Speed & Productivity

Estimate Turnaround Time: Average completion time aligned with SLA requirements

On-Time Delivery Rate: % of estimates submitted within required timeframes
Client Approval Rating

Proposal Approval Rate: % of proposals submitted vs approved by client
Requirements:
Experience
-
3–5+ years of estimating experience in facilities maintenance, construction, or a related field
-
Experience in multi-site or national account environments strongly preferred
-
Working knowledge of trades including HVAC, plumbing, electrical, carpentry, and general maintenance
Skills & Competencies

Strong analytical and cost evaluation skills with a focus on accuracy and profitability

Proven ability to develop detailed and executable scopes of work

Proficiency in CMMS systems, estimating platforms, and Microsoft Excel

Strong attention to detail and ability to manage high-volume workflows

Effective communication and cross-functional collaboration skills

Ability to balance speed, accuracy, and financial performance in a fast-paced environment

Knowledge and exposure to restaurant construction is highly desirable.
