DESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONS

Houston Public Library is looking for a talented and customer service driven Event Coordinator to lead the production and promotion of events held at the library, both private events in our premier spaces and signature library programming. Signature programming allows the library to engage the community with authors, artists, musicians, civic leaders, scholars, and more. The ideal candidate needs to be able to work flexible hours including nights and weekends as necessary based on the events schedule.

The Event Coordinator essential duties include:

  • Provide logistics for events and program planners, including assistance with rentals, staging, AV, security, and permits in support of HPL programs, private and corporate events of all sizes held on library property, exhibit and gallery receptions, facility events including grand openings and ground breakings, staff events, Mayoral and other City of Houston events, and other events and receptions.
  • Coordinate complicated event logistics and guest operations.
  • Plan event details and supervise event personnel.
    Interact in a professional manner with the public, VIPs, executive team members, foundation members and city leaders explaining procedures and scheduling events.
  • Conducts on-site planning and evaluations of permitted activities, analyzing events to project and minimize problem areas and ensures facility is ready for events.
  • Develop and oversee detailed checklists, work plans, event schedules, and event reports.
  • Report on event success and areas for improvement.
  • Rotating Shift - Monday - Sunday - 8a.m. - 8p.m. *includes evenings and weekends.
  • Flexible hours including nights and weekends, as necessary.

WORKING CONDITIONS:
The position routinely requires lifting of moderately heavy items, such as typewriters or records boxes (up to 40 pounds) and/or very long periods of walking on rough surfaces on a routine basis. There are occasional minor discomforts from exposure to less-than-optimal temperature and air conditions. The position may involve dealing with modestly unpleasant situations, as with occasional exposure to office chemicals and/or extensive use of a video display terminal. Requires the ability to make simple gross motor responses within large tolerances.

MINIMUM REQUIREMENTS

EDUCATIONAL REQUIREMENTS:
Requires an Associate degree in Marketing, Public Relations, Management or a closely related field.

EXPERIENCE REQUIREMENTS:
One year of related work experience is required. Two years of additional directly related experience may be substituted for the above degree requirement.
