Event Coordinator, Event Designer and Administrative Assistant

The Role

We are seeking exceptional talent to join our growing team. We currently have openings for an Event Producer, Event Designer, and Office Assistant. Each role plays a critical part in conceptualizing, planning, and executing high caliber events from inception to completion.

This is an on-site position based in Los Angeles, CA, ideal for someone who thrives in a dynamic, deadline-driven environment and values precision, creativity, and excellence.

Key Responsibilities

Event Production & Design

  • Plan, design, and execute luxury events from concept through breakdown
  • Develop creative concepts aligned with client vision and brand identity
  • Create production timelines and oversee all logistical details
  • Coordinate and manage vendor relationships (florals, rentals, lighting, entertainment, etc.)
  • Oversee installation and on-site execution to ensure seamless delivery
  • Maintain detailed run of show documents and production schedules

Budget & Project Management

  • Develop and manage event budgets with financial precision
  • Track expenses and ensure cost-effective execution without compromising quality
  • Manage timelines, approvals, and deliverables across multiple projects
  • Anticipate challenges and implement strategic solutions proactively

Client & Team Collaboration

  • Communicate professionally and confidently with high-level clientele
  • Present design ideas, proposals, and creative direction
  • Collaborate closely with internal team members to achieve cohesive results

Office Administration

  • Assist with scheduling, email correspondence, and administrative tasks
  • Maintain organized documentation, vendor databases, and project files
  • Support overall office operations to ensure efficiency and flow

Qualifications

  • Strong communication and interpersonal skills
  • Proven experience in event planning, production, or design
  • Demonstrated budgeting and financial oversight skills
  • Solid project management capabilities
  • Exceptional attention to detail and organizational skills
  • Ability to thrive in a fast paced, high expectation environment
  • Adaptable, proactive, and solutions oriented
  • Prior luxury event experience preferred

Pay: $25.19 - $30.34 per hour
