Job Description


Job Summary:
To manage and supervise the Events department and the areas in Rosewood Doha where private events take place in such a way that company standards are achieved, and all guest expectations are exceeded in respect of quality, quantity, and service.

Essential Duties and Responsibilities:

Guest Satisfaction:
  • Ensure the delivery of brand promise, demonstrating and reinforcing Rosewood Hotels and Resorts, Values and Culture Characteristics
  • Ensures that associates also provide excellent service to associates in other divisions as appropriate.
  • Spends time in public areas observing associate-guest interaction and talking with guests, works to coach associates in guest service skills as necessary.
  • Ensures that all guest and associate complaints are resolved in a quick and efficient manner.
  • Maintains positive guest and colleague interactions with good working relationships.
  • Implements agreed upon beverage policy and procedures throughout the property.
Finance / Administration:
  • Assist the Director of Events preparing a rota ensuring all events are staffed and that all casual labor is booked well in advance.
  • Assist the Director of Events preparing a forecast and submitting to the F&B Management weekly, showing the cost of the labor for the following week and to ensure that this cost is within agreed budgets.
  • Assist the Director of Events submitting an actual figure to the F&B Management for all casual and agency labor at the end of each month.
Operations:
  • Manage the banqueting department so that all guest expectations are met in line with agreed budgets.
  • Ensure that a supervisor is always designated to each event.
  • Carry out necessary preparation in planning forthcoming events for equipment, linen, glassware, silver.
  • Ensure supervision of all full-time and casual staff during the set up and tear down of each event.
  • Take responsibility for all supplier items being delivered for events, ensuring items are well maintained during use and that all items are checked and counted before being picked up by the supplier.
  • Ensure rooms are set up and ready, 1 hour before the event or as specified on the Banqueting Event Order and in accordance with Rosewood Doha standards.
  • Ensure supervision of each event in accordance with the guest’s wishes as specified on the event sheet.
  • Supervise the full-time associate and casual staff during each event.
  • Conduct any on-the-job training for new associates and ensure company standards are achieved.
  • Ensure all casual staff are given basic training, covering all aspects of the Casual Worker Handbook and training in the standards of set-up and service within Events and overall standards of Rosewood Doha.
  • Continually monitor the grooming standard of both full-time associate and casual staff, ensuring it consistently meets Rosewood Doha and Events Department standards.
  • Prepare a daily Operations meeting to discuss events, shift planning and any other communication as is needed. Organizing monthly team meeting and Daily Calling every day with Director of Events.
  • Attending the weekly Banqueting Events Order (BEO) communication meeting, raising any queries in relation to the BEO’s and developing a stronger understanding of upcoming events and clients.
  • Ensure that the Events Department arranges a pre-event briefing at least one day before the events with the sales & marketing department.
  • Introduce himself/herself to the organizer of each event, explaining that they are in charge of their event and how the organizer can find them, should they require anything.
  • Ensure that when the rooms are not in use, that they are left neat and tidy.
  • Ensure that if any accidents occur to guests, they are dealt with efficiently, and that the F&B Management is informed.
  • Take responsibility for any last-minute changes the organizer may make, and act upon them.
  • Ensure any accidents involving associates are notified to the First Aider on duty and ensure that accident reports are completed or notified to the Director of Events / T&C Department.
  • Act on any additional requests made by the S&M Department that are in the interests of the guest and the company standards.
  • Ensure that all items relevant to the event are posted in Micros for accurate invoicing.
  • Ensure that the F&B Management are kept informed of guest complaints at all times, and deal with or ensure that complaints from guests are dealt with immediately.
  • Take on all other responsibilities as outlined by the Director of Events.
  • Adjust schedules throughout the week to meet the business demands.
  • Check bar set-ups for cleanliness, organization and agreement with group requirements and departmental standards; resolve any problems.
  • Check buffet tables/receptions/coffee breaks for cleanliness, attractiveness, layout; ensure agreement with function order and departmental standards; resolve any problems.
  • Assist Event operations associate with their job functions to ensure optimum service to guests.
Standard Responsibilities:
  • Comply and adhere to the Rosewood company policies.
  • Take on other tasks in addition of the ones stated, in a reasonable framework.
  • Be a “brand ambassador” at all times and ensure brand integrity and clarity are always maintained.
  • Model the company’s culture, vision, mission and core values at all times.
  • Review Forbes / Rosewood Brand standards and quality standards (LQA) on a regular basis and ensure they are maintained and delivered at all times.
  • Ensure new technology and equipment is embraced, improving productivity whilst taking work out of the system.
  • Establish and maintain an inclusive environment by ensuring effective two ways communication processes are set up (individual reviews, regular departmental meetings).
  • Responsible for the recruitment, in conjunction with the Talent & Culture Department, of associates.
  • Identify training and development needs on an ongoing basis through hands-on support and frequent interaction with associates.
  • Lead by example in terms of appearance, mannerism, etiquette, behavior conduct, principles and values. Manage by walking around at appropriate times and leads by personal example in terms of guest interaction.
Confidentiality:
  • Whilst working for the company there will be access to a wide variety of confidential information concerning the company, guests and associates. It is vital that all such information remains confidential and must not be disclosed to anyone outside the company, guests and associates, unless otherwise stated.
Health & Safety:
  • Be aware of and comply with safe working practices as laid down under the Health and Safety rules, regulations, and procedures as applicable to your place of work. This will include your awareness of any specific hazards at your workplace.
  • The wearing of appropriate protective clothing provided by or recommended by the Company will be obligatory.
  • Report any defects in the building, plant or equipment according to hotel procedure.
  • Ensure that any accidents to associates, guests or visitors are reported immediately in accordance with correct procedures.
  • Attend Statutory Fire, Health & Safety training and be fully conversant with and abide by all rules concerning Fire, Health & Safety.
  • Be fully conversant with:

    • Hotel Fire & Bomb Procedures
