Own the operations backbone of our events: source and manage vendors, purchase all event needs, maintain an organized supplier ecosystem, and ensure quality delivery on time and on budget. You'll turn briefs into executed setups across AV, fabrication, printing, and on-site logistics.
Key Responsibilities
- Build and maintain a vetted network ofsuppliers, venues, freelancers, fabricators, printers, photographers/videographers, logistics providers, and other common events requirements.
- Run RFP/RFQ cycles, compare bids, negotiate pricing, SLAs, and payment terms.
- Track vendor performance, certification/insurance, and safety compliance.
- Purchasing & Budget Control
- Create purchase requests/POs, manage approvals, and reconcile invoices.
- Maintain cost benchmarks for Audio-Visual, wood fabrication, and printing to prevent overpaying.
- Monitor budgets, forecast spend, and report cost variance vs. plan.
- Resource Database & Documentation
- Own and continuously update resource sheets (suppliers, venues, rates, lead times, contacts).
- Keep spec libraries: AV packages, stage/fabrication specs, print materials & finishing.
- Maintain checklists (pre-event, build, HSE, quality, strike) and run of show ops notes.
- Production Logistics
- Coordinate deliveries, access permits, warehousing, and inventory of event materials.
- Schedule crews (riggers, carpenters, AV techs) and manage day sheets.
- Oversee on site QC: verify build to drawings, branding accuracy, and safety.
- Quality & Standards
- Ensure AV, fabrication, and print work meets specs and brand guidelines.
Must-Have Knowledge (Standards & Pricing)
- Audio-Visual: common packages (LED walls, screens, projectors, line arrays, mixers, mics), power/load considerations, day rates vs. weekly rates.
- Wood Fabrication: MDF/ply standards, finishes, structural basics, unit pricing by sqm/LM, typical turnarounds, install methods.
- Printing & Branding: substrates (foamboard, forex, acrylic, fabric, vinyl), finishing (lamination, die cut, stitching), cost ranges and color QA.
Qualifications
- 2-5 years in events operations/production (agency, production house, or client side PMO).
- Proven vendor network in AV, fabrication, and print.
- Strong Excel/Sheet skills; comfortable with POs/invoices and basic budgeting.
- Excellent organization, time management, and on site problem solving.
- Arabic and English proficiency (written/spoken)
- Driver's license and car (site visits, supplier runs).
Nice to Have
- Hands on site lead experience on build days.
- Basic HSE familiarity for events.
- Experience with Saudi market venues and permitting (if relevant).
- Portfolio of past builds or vendor list you can activate.
