Event Project Manager

Role Overview

The Bilingual Project Manager – Events will oversee the planning, execution, and delivery of events and exhibitions, ensuring that projects are delivered on time, within budget, and to the highest quality standards. The role requires excellent organizational and leadership skills, a strong understanding of event production, and fluency in both Arabic and English to communicate effectively with clients, vendors, and internal teams.

Key ResponsibilitiesProject Planning & Execution

  • Lead end-to-end event project management, from concept development to post-event reporting.
  • Develop detailed project plans, timelines, and budgets, and track progress against milestones.
  • Coordinate with creative, production, technical (AV & infrastructure), logistics, and marketing teams to ensure seamless execution.
  • Conduct site inspections and liaise with venues to ensure feasibility and compliance with local regulations.
  • Manage risk assessments, contingency plans, and quality assurance measures.

Client & Stakeholder Management

  • Serve as the primary point of contact for clients, maintaining strong relationships and ensuring expectations are met.
  • Prepare and present proposals, event concepts, and status reports in both Arabic and English.
  • Communicate effectively with vendors, subcontractors, and stakeholders to ensure timely delivery of services and materials.

Budget & Resource Management

  • Develop and monitor project budgets, ensuring cost control and financial accountability.
  • Allocate resources efficiently, including personnel, equipment, and materials.
  • Approve purchase orders and monitor expenditures related to assigned events.

Team Leadership

  • Lead project teams, providing guidance, support, and performance management.
  • Assign responsibilities and tasks to team members to ensure timely execution.
  • Conduct regular project meetings and status updates with internal teams and clients.

Documentation & Reporting

  • Maintain comprehensive project documentation including schedules, contracts, permits, and post-event reports.
  • Prepare lessons learned and recommendations for future projects.
  • Ensure all reports and communications are available in both Arabic and English as needed.

Qualifications & Skills

  • Bachelor’s degree in Event Management, Business Administration, Hospitality, Marketing, or a related field.
  • 5–8 years of experience managing events, exhibitions, or large-scale projects.
  • Fluent in Arabic and English (both written and spoken).
  • Strong knowledge of event production processes, logistics, and technical requirements (AV & infrastructure).
  • Proficiency in MS Office, project management tools (MS Project, Asana, Trello, etc.).
  • Excellent organizational, problem-solving, and decision-making skills.
  • Strong interpersonal and communication skills for client and team interaction.
