Events Management Specialist

Job Title: Events Management Specialist

Department: Internal Communication & Marketing


Role Purpose: T he Events Specialist is responsible for supporting the successful delivery of both internal and external events by managing end-to-end logistics, coordinating with internal and external stakeholders, and ensuring seamless execution aligned with the organization’s event strategy. Reporting to the Senior Marketing & Communications Manager, the role plays a hands-on part in planning, organizing, and executing impactful events that uphold the brand’s standards, enhance employee engagement, and strengthen the organization’s communication objectives.


Key Duties & Responsibilities:

  • Assist in creating and maintaining the events calendar.
  • Coordinate planning activities and timelines for both internal and external events.
  • Support logistical arrangements including venue setup, equipment coordination, transportation, and supplier follow-ups, including Hub or other meeting rooms where applicable.
  • Ensure all activities align with the overall event strategy.
  • Provide hands-on assistance during events, including setup, guest registration, ushering, and event flow coordination.
  • Troubleshoot logistical or technical issues as they arise.
  • Liaise with vendors, venue teams, and internal stakeholders during live execution.
  • Assist in collecting participant feedback and stakeholder input.
  • Support preparation of post-event reports, performance summaries, and lessons learned.
  • Identify opportunities for improvement for future events.
  • Coordinate with design and content teams to prepare event materials (signage, badges, banners, digital screens, printed collateral).
  • Oversee production and delivery of branded items in a timely manner.
  • Ensure all materials comply with brand guidelines.


Job Requirements:

  • 5–6 years of experience in event coordination, events support, or similar roles.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities for stakeholder coordination.
  • Demonstrated ability to work under pressure and meet tight event timelines.
  • Experience supporting event logistics, setup, registration, and on-site operations.
  • Ability to work flexible hours, including evenings and weekends.
  • Team-oriented with a proactive, solution-driven mindset.
  • Bachelor's degree in Event Management, Marketing, Communications, or related field.
  • Additional training/certifications in events, hospitality, or project coordination are a plus.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and basic project management tools.
  • Ability to coordinate with suppliers, manage event materials, and support logistical arrangements.
  • Basic understanding of branding requirements for signage and event materials.
