Events Project Manager
Forma is seeking an organized, dynamic, and experienced Events Project Manager to lead the planning, execution, and delivery of our key events, ensuring they meet strategic objectives, deadlines, and budget requirements. Key Responsibilities:
- End-to-End Project Management: Oversee all phases of event projects (e.g., conferences, product launches, virtual summits, internal gatherings) from initial concept/scoping through to post-event analysis and reporting.
- Planning & Scheduling: Develop comprehensive project plans, work breakdown structures (WBS), timelines, and critical path analysis to ensure all event milestones are met.
- Budget Management: Create, track, and manage detailed event budgets, monitoring expenditure, processing invoices, and ensuring cost-effective delivery of high-quality events.
- Stakeholder & Vendor Management: Act as the primary point of contact for internal stakeholders (Marketing, Sales, Leadership) and external vendors (venues, caterers, A/V, logistics, speakers), managing relationships and contract negotiations.
- Risk Management: Proactively identify potential project risks and challenges (e.g., scheduling conflicts, budget overruns, logistical issues) and develop mitigation strategies and contingency plans.
- Logistics & Operations: Coordinate complex event logistics, including venue selection, floor plans, registration, accommodation, transportation, and onsite operations.
- Team Leadership: Lead and coordinate cross-functional event teams, providing clear direction, managing workloads, and fostering a collaborative environment.
- Documentation & Reporting: Maintain all project documentation, including status reports, post-event surveys, and final project close-out reports to capture lessons learned.
Required Skills & Qualifications
- Experience: 3+ years of progressive experience in event management, project management, or a related field, with a proven track record of successfully managing complex, large-scale events.
- Project Management Expertise: Deep understanding and practical experience with project management methodologies (e.g., Waterfall, Agile) and project management tools (e.g., MS Project, Asana, Trello, Jira).
- Education: Bachelor's degree in Project Management, Event Management, Marketing, or a related field.
- Certifications (Preferred): PMP (Project Management Professional) or CMP (Certified Meeting Professional) is highly desirable.
