Position Summary:
The Executive Administrative Assistant to the Assistant Vice President for University Housing provides direct, executive-level administrative support to the Assistant Vice President and Housing Departments. The Executive Assistant will interact with university stakeholders, staff and faculty. Primary duties include coordination and prioritization of the AVP’s calendar, meetings, and events, as well as coordinating administrative duties for the AVP’s office, housing departments, and assisting with special projects and travel.

Job Duties
  • Serve as office manager and administrative coordinator for the AVP Student Housing Schedules meetings, manage calendar, coordinates training sessions or events, create presentations, and purchase office supplies.
  • Provides administrative guidance to direct reports and departmental staff that assist in advancing the AVP’s initiatives and instructions.
  • Process all travel and procurement requests for the AVP and Housing Departments.
  • Coordinate administrative services for the AVP office in consultation with shared services in the division, including the development, implementation, administration, and oversight of office systems, policies and procedures.

Job Related Minimum Required Education and Experience
  • Requires a bachelor’s degree in a job related field and 2 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.

Required Certification, Licensure/Other Credentials

Preferred Qualifications
  • Experience operating within a large university.
  • Knowledge of or ability to learn the University of South Carolina policies, procedures, and administrative systems (Peoplesoft Finance, HCM, and PeopleAdmin).

Knowledge/Skills/Abilities
  • Excellent written and verbal communication skills.
  • Considerable computer mastery with specific knowledge of Microsoft Office Suite (Word, PowerPoint, Excel, Outlook), Adobe Acrobat, and other software programs.
  • Demonstrated strong analytical skills and have the capacity to learn web-based university systems, and interpret and implement policies and procedures.
  • Ability to establish and sustain a positive working relationship with staff, co-workers, administrators, and campus partners.
  • Ability to manage sensitive situations with confidentiality and discretion.
  • Average typing skills. Ability to effectively manage time and prioritize tasks.
  • A positive team-oriented attitude.
  • Ability to manage multiple concurrent tasks of a varied nature.
  • Excellent organizational skills.
  • Ability to prepare reports and presentations.
  • Ability to work independently with little direction as well as collaboratively within a team.
  • Ability to handle special constituent issues with discretion and tact.
  • This position has been designated as essential personnel during inclement/hazardous weather and other emergencies.

Provide support to the AVP in fulfilling responsibilities resulting from university committee involvement. Support Housing events as needed, including planning for meetings at various levels, move-in, class absence, interviews for various departments, etc. Work on projects for the AVP, Housing, LLCs, or directors.
