Executive Admin Assistant

Job Title: Executive Administrative Assistant

Department: Operations

Reports to: CEO

Location: Pontiac Main

Average Hours per week: 35+

FLSA Status: Non-Exempt

$17-$25 an hour - Full-time


Job Summary:

The Executive Administrative Assistant provides high‑level administrative support to senior leadership, ensuring efficient operation of the executive office. This role involves preparing communications, coordinating meetings, and handling confidential information. The successful candidate will demonstrate exceptional organization, professionalism, and attention to detail.


Supervisory Responsibilities:

  • None.


Key Responsibilities:

  • Prepares reports, memos, letters, and other documents.
  • Answers phone calls and direct calls to appropriate people or takes messages.
  • Conducts research, compiles data, and prepares papers for consideration and presentation by executives.
  • Prepare meeting agendas, materials, and minutes
  • Reads and analyzes incoming memos, submissions, and reports to determine their significance and then distributes to the appropriate individual.
  • Performs general office duties and maintains records management database systems
  • Make travel arrangements for executives.
  • Provides clerical support to other departments.
  • Manages and maintains executives' schedules.
  • Assist with executive projects, deadlines, and follow-ups.


Required Key Skills and qualifications:


  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.

  • Ability to work independently.
  • Demonstrate regular attendance and punctuality.
  • Ability to function well in a high-paced and at times stressful environment.
  • Proficient with Microsoft Office Suite or related software.


Education and Experience:

  • Associate or Bachelor's degree preferred; equivalent experience considered.
  • 3–5+ years of administrative or executive support experience.
  • Exceptional organization, time management, and multitasking abilities.
  • Strong proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams)


Physical Requirements:

  • Regularly: Sitting, Talking, Hearing, Feeling/Touching, Vision – close, peripheral, depth, ability to adjust focus
  • Frequently: Walking
  • Occasionally: Standing, climbing and/or crawling, Lifting objects up to 10 pounds
