The person is responsible for overseeing and coordinating the administrative functions of the organization. This role ensures the smooth and efficient operation of office processes, facilities management, vendor coordination, and compliance with company policies. They will lead a team of administrative staff and work closely with other departments to support organizational goals.


What you’ll be doing:

1. Office Administration:

  • Oversee day-to-day office operations and ensure a productive work environment.
  • Manage office supplies, equipment, and inventory to ensure availability and cost-effectiveness.
  • Develop and implement administrative policies and procedures.


2. Facilities Management:

  • Ensure the maintenance and upkeep of office premises, including cleanliness, safety, and security.
  • Coordinate with vendors and service providers for repairs, maintenance, and other facility-related needs.
  • Manage office space planning and seating arrangements.


3. Team Management:

  • Supervise and mentor the administrative team, providing guidance and support.
  • Assign tasks, monitor performance, and ensure timely completion of responsibilities.
  • Conduct regular team meetings and training sessions to enhance skills and efficiency.


4. Vendor and Contract Management:

  • Negotiate and manage contracts with vendors, suppliers, and service providers.
  • Ensure timely renewal of contracts and compliance with agreed terms.
  • Monitor vendor performance and address any issues or concerns.


5. Budgeting and Cost Control:

  • Prepare and manage the administrative budget, ensuring cost-effectiveness.
  • Track expenses and identify opportunities for cost savings.
  • Provide regular reports on administrative spending to senior management.


6. Compliance and Documentation:

  • Ensure compliance with company policies, legal regulations, and health and safety standards.
  • Maintain accurate records of administrative activities, contracts, and correspondence.
  • Handle confidential information with discretion and professionalism.


7. Event Coordination:

  • Plan and organize company events, meetings, and conferences.
  • Coordinate travel arrangements and accommodations for employees and guests.
  • Manage logistics for internal and external events.


8. Technology and Systems:

  • Oversee the implementation and maintenance of office management systems and tools.
  • Collaborate with IT teams to ensure smooth functioning of office technology.

    • Bachelor’s degree in business administration, Management, or a related field.
    • Minimum of 6 years of experience in administrative management or a similar role.

    • Excellent organizational and multitasking skills.
    • Proficiency in MS Office Suite and office management software.
    • Strong negotiation and vendor management skills.
    • Excellent communication and interpersonal skills.
    • Problem-solving and decision-making capabilities.
