Overview
We are seeking a dynamic and highly organized Executive Administrative Assistant to join our team. This vital role offers the opportunity to support senior executives by managing complex schedules, coordinating projects, and ensuring smooth office operations. Responsibilities
- Manage and maintain executive calendars using Microsoft Outlook Calendar, scheduling meetings, appointments, and travel arrangements with precision.
- Provide comprehensive administrative support including drafting correspondence, proofreading documents, and transcribing meetings or notes as needed.
- Coordinate projects across departments by tracking deadlines, preparing reports, and ensuring timely completion of tasks.
- Handle all aspects of office management such as filing, data entry, and maintaining organized records both physically and digitally.
- Assist with event planning for internal and external functions, including logistics, vendor communication, and onsite coordination.
- Operate multi-line phone systems with professionalism, practicing excellent phone etiquette while directing calls efficiently.
- Utilize computer literacy skills across Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and DocuSign for document signing processes.
- Support bookkeeping activities using QuickBooks or similar software; manage invoicing, expense tracking, and basic bookkeeping duties.
- Provide front desk coverage when needed by greeting visitors warmly and managing incoming inquiries with exemplary customer service skills.
- Perform clerical tasks such as proofreading documents, data entry, filing systems management, and transcription to ensure accuracy and efficiency in daily operations.
Experience
- Proven experience as an executive administrative assistant or personal assistant supporting senior leadership in a fast-paced environment.
- Demonstrated office management experience with strong organizational skills and attention to detail.
- Familiarity with project coordination tools and techniques to track multiple ongoing initiatives effectively.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, QuickBooks or similar bookkeeping software, and multi-line phone systems.
- Excellent typing speed combined with strong proofreading skills to produce error-free documents promptly.
- Experience handling calendar management using Google Workspace
- Knowledge of office procedures such as filing systems, data entry protocols, transcription services, and general clerical support is essential. Pay: $25.00 - $35.00 per hour
