Executive Assistant

We are looking for a highly organized and proactive Executive Assistant to the Managing Director (MD) to provide high-level administrative and operational support in a fast-paced interior and fit-out environment. The ideal candidate will act as a key liaison between the MD, internal teams, consultants, suppliers, and clients, ensuring smooth day-to-day operations and effective time management.

Key Responsibilities

  • Manage the Managing Director’s calendar, meetings, appointments, and travel arrangements
  • Act as a point of contact between the MD and internal departments, clients, consultants, and vendors
  • Prepare, review, and format correspondence, reports, presentations, and meeting minutes
  • Coordinate project-related documentation, approvals, and follow-ups with site and office teams
  • Track action items, deadlines, and priorities to ensure timely execution
  • Handle confidential information with professionalism and discretion
  • Assist in preparing proposals, tenders, contracts, and client presentations when required
  • Organize and attend meetings, including taking minutes and following up on decisions
  • Support the MD in day-to-day operational and administrative tasks
  • Maintain proper filing systems (digital and physical) for projects, contracts, and company records
  • Liaise with PROs, HR, and Finance teams when required for administrative coordination

Requirements & Qualifications

  • Bachelor’s degree in Business Administration or a related field
  • Minimum 3–5 years of experience as an Executive Assistant or Personal Assistant, preferably in interior, fit-out, construction, or engineering companies in the UAE
  • Strong understanding of the interior and fit-out industry workflow is an advantage
  • Excellent verbal and written communication skills in English (Arabic is a plus)
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
  • Excellent organizational, multitasking, and time-management skills
  • Ability to work independently and under pressure in a fast-moving environment
  • High level of professionalism, confidentiality, and attention to detail

Preferred Skills

  • Experience coordinating with site teams, suppliers, and consultants
  • Familiarity with project documentation and approval processes
  • Strong follow-up and problem-solving skills
  • UAE experience is mandatory

Job Type: Full-time

Pay: AED6,000.00 - AED10,000.00 per month
