Job Description

We are seeking an experienced and highly organized Office Administrator for a real estate company. The ideal candidate must have strong hands-on experience in both Secondary and Off-Plan transactions, with the ability to manage day-to-day office operations and support sales teams from deal initiation to transfer / handover.

The role requires deep knowledge of UAE real estate processes, documentation, platforms, and regulatory compliance.

Key Responsibilities

General Office & Operations

  • Manage daily office operations and administrative workflows
  • Coordinate between sales agents, clients, developers, trustees, and management
  • Maintain accurate records, reports, and transaction trackers
  • Ensure compliance with RERA / DLD regulations
  • Assist management with operational and reporting requirements

Secondary Market Responsibilities (A–Z)

  • Handle complete secondary market transactions from offer to title deed transfer
  • Prepare and manage Form A, Form F, MOUs, NOCs, and related documentation
  • Coordinate with buyers, sellers, agents, trustee offices, developers, and banks
  • Track deals from offer acceptance to transfer completion
  • Liaise with DLD, Trustee Offices, and developers
  • Maintain accurate secondary market deal trackers

Off-Plan Responsibilities (A–Z)

  • Handle end-to-end off-plan sales administration
  • Coordinate with developers’ sales administration teams
  • Prepare and manage booking forms, reservation forms, and offers
  • Collect and verify client KYC documents
  • Register off-plan transactions on DLD / Oqood
  • Coordinate SPA issuance, signing, and registration
  • Track payment plans, milestone payments, and post-handover payments
  • Follow up with developers on approvals, NOCs, and handover schedules
  • Assist agents and clients during handover process
  • Maintain detailed off-plan trackers and payment schedules

Platforms & Systems

  • Manage and update listings on Property Finder, Bayut, Dubizzle
  • Work with CRM systems and internal trackers
  • Proficient in MS Office / Google Workspace

Required Skills & Qualifications

  • 3–4 years of experience as a Real Estate Office Administrator in UAE
  • Strong knowledge of Secondary Market & Off-Plan processes (complete cycle)
  • Hands-on experience with DLD, Oqood, Trustee Office procedures
  • Excellent documentation, coordination, and follow-up skills
  • Strong communication skills (English required; Arabic is a plus)
  • Ability to manage multiple transactions simultaneously
  • Well-organized, detail-oriented, and proactive

Preferred Qualifications

  • Experience working with multiple developers
  • Familiarity with Ejari, mortgage coordination, and handover processes
  • Experience supporting large sales teams

Job Types: Full-time, Permanent

Pay: AED5,000.00 - AED9,000.00 per month
