Job Summary
We are seeking a dynamic and highly organized Executive Administrative Assistant to join our team. Responsibilities
- Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
- Provide executive administrative support by preparing, correspondence, follow ups; proofreading documents for accuracy and clarity.
- Coordinate projects by tracking deadlines, organizing meetings, and ensuring timely completion of tasks through effective communication with team members.
- Oversee office management tasks including filing, data entry, bookkeeping using QuickBooks, and maintaining organized records.
- Assist with event planning for company meetings, conferences, and special events to ensure successful execution from logistics to follow-up.
- Support personal assistant duties as needed, including managing confidential information and handling special requests discreetly.
Requirements
- Proven experience in an administrative or office management role with a strong background in executive administrative support.
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tasks.
- Excellent organizational skills with the ability to prioritize multiple responsibilities efficiently.
- Strong typing skills along with transcription and proofreading abilities for professional document preparation.
- Experience with bookkeeping software such as QuickBooks and familiarity with office equipment including multi-line phone systems.
- Exceptional communication skills with professional phone etiquette and customer service experience.
- Ability to coordinate projects effectively while managing calendar schedules using Microsoft Outlook Calendar or similar tools.
- Knowledge of office procedures such as filing systems, front desk operations, and document signing platforms like DocuSign.
