Executive Administrative Assistant

General Description of Duties and Responsibilities:

The Executive Administrative Assistant will support the Program team through clerical, administrative, and quality assurance tasks. Primary duties will include, but are not limited to, data entry, filing and records management, invoice processing, and some financial-related duties pertaining to the operation of programs.

Duties:

  • Review, process, and file census, variance, and mileage reports in order to generate billing invoices.
  • Review and process financial ledgers and maintain receipt records.
  • Assist with quality assurance by conducting record audits, both physical and electronic, and in-home inspections to monitor and report compliance with program requirements.
  • Generate and distribute billing invoices based on approved budgets, track and manage incoming payments, and correspond with payees as necessary.
  • Assist with banking duties, including making deposits and managing spend card funds.
  • Attend meetings as directed and transcribe meeting minutes.
  • Provide receptionist services as needed.
  • Assist with supply ordering for program-related purposes.
  • Other duties or special projects as assigned by the CEO, or owner.

Qualifications:

  • High school diploma or equivalent. Additional education or training in business administration preferred.
  • At least two years of experience in a professional, supportive position.
  • Strong ability to utilize Microsoft applications to include Excel, Word, and Outlook email and calendars.
  • Strong understanding of modern office practices.
  • Ability to pass a Family Care Safety Registry screening.
  • Interpersonal skills to engage in appropriate interaction with employees at all levels of the organization and/or other agencies and entities.

Pay: $21.00 - $23.00 per hour
