We have an immediate opening for a motivated individual seeking an Executive Administrative Assistant role. Successful candidate must be willing to learn and be open to various task assignments while working in a fast paced, high energy environment . Must have the ability to work with integrity and maintain the highest level of confidentiality. This role may evolve over time, and we’re looking for someone who’s comfortable taking on new challenges and responsibilities as needed.
Responsibilities include but are not limited to:
- Work on projects involving operations, marketing, accounting, IT, security or others as required.
- Plan and coordinate internal and external meetings and executive events
- Prepare materials, record minutes and distribute outcome as directed
- Maintain organized, confidential files, records and documentation
- Contract management
- Manage sensitive communications with discretion
- Maintain strict confidentiality and professionalism at all times
- Researching and compiling information as directed by owners
- Assisting the owners with executive administrative duties and special projects
- Track milestones, deadlines and deliverables
- Liaise with senior leadership
- Assisting with company event planning and coordination
- Running errands and providing logistical support as requested
Candidate must be able to meet the following requirements:
- High attention to detail in all work especially when performing repetitive tasks.
- Strong written and verbal communication skills, including active listening.
- Ability to balance administrative work with varying priorities.
- The ability to work in a team environment as well as independently.
- Organized and able to prioritize work.
- Take direction from management and adapt to changing work needs.
- Communicate clearly and quickly with managers, field personnel and vendors about changes or obstacles to work flow.
- Maintain accurate documentation; including recording issues and documenting changes.
- Create, process and maintain electronic and paper file records; file and retrieve documents for self and other personnel.
- Carry out general clerical duties such as: filing, responding to emails, preparing documents, maintain inventory, making copies and scanning documents, special projects as required.
- Current Drivers License with clean driving record
- Must be willing to take on a wide range of tasks as needed, with a proactive and can-do attitude.
- Position requires ability to lift , bend, reach above shoulder level, climbing stairs, pulling, and prolonged sitting and/or standing.
Essential Skills:
- Proven experience in an executive administrative or similar support role
- Strong organization, time management, document control, and research skills
- Self-starter with the ability to work independently and in a team
- Ability to follow detailed direction and meet strict deadlines
- Problem solving and adaptability
- Ability to prioritize in a fast paced environment
- Requires flexibility and the ability to manage competing priorities
- Intermediate proficiency in Microsoft Office (Word, Excel, Outlook)
- Typing speed 50+ WPM
Preferred Skills:
- College degree
- Experience managing projects or complex workflows
- Ability to anticipate needs and work proactively
- Applicant must pass proficiency tests for typing, math and Excel before being considered for interview.
- Applicant must be able to pass a pre-employment drug screening during new hire process.
Job Type: Full-time
Pay: $28.00 - $30.00 per hour
