Job Overview
The George Gervin Youth Center Inc., Excuitive Administrative Assistant to the School Superintendent, provides high-level support by managing calendars and communications for the district’s top executive. They handle confidential information, prepare reports, and act as a liaison between the superintendent, staff, and school board, requiring strong organizational and interpersonal skills.
Key Responsibilities
- Performs highly responsible administrative support duties as the primary and confidential Administrative Assistant to the Superintendent, to relieve the Superintendent of administrative and clerical detail; plans, organizes District Office activities and coordinates flow of communications and information; assures smooth and efficient office operations.
- Assist in the coordination of board hearings to include scheduling, posting notices, preparing and posting agendas, preparing and distributing decisions, setting up hearing rooms, notifying parties, and preparing and distributing hearing packets.
- Maintain calendars, inclusive of scheduling meetings, training, travel, and appearances for trustees.
- Must be able to work extended schedules, including after-hours.
- Process trustee requests, communicate with staff as needed to keep abreast of requests.
- Coordinate with district departments to ensure timely completion of executive team & school board needs.
- Aid with the general functions of the executive team/board members which include process departmental requisitions, maintaining files, and assisting with special projects assigned by the executive team.
- Assist with board meetings, board briefings, and other board-related activities including preparation of the delegation speaker list for board briefings, board meetings, and public hearings, ordering food, preparing the site, gathering materials and supplies, etc.
- Compose resolutions, special recognitions and other ceremonial forms, as well as create and design documents, correspondence, flyers, programs, and invitations as requested.
- Compile and analyze data for reports and maintain mailing lists, support files, and other documents for trustees.
Requirements and Skills
- Exceptional communication, organizational, and interpersonal skills.
- Proficiency in office management software (e.g., Microsoft Office Suite, Google excel).
- Ability to manage multiple projects and adapt to changing priorities
- The Charter and school policies, rules, and procedures.
- Knowledge of laws, codes, and TEA regulations.
- Correct English usage, composition, grammar, spelling, and punctuation.
- Oral and written communication skills.
- Public relations techniques.
- Business letter and report writing, editing, and proofreading.
- Financial record-keeping techniques.
- Basic budgeting practices regarding monitoring and control.
Qualifications:
- Bachelor’s Degree from an accredited university.
- 3-5 years of experience in school operations or high-level administration.
- 3-5 years of direct experience in school governance and/or training.
- Ability to perform responsibilities without direct supervision.
- Ability to employ sound judgment and discernment in decision-making.
- Ability to solve problems of a routine degree of complexity under pressure.
- Ability to establish and maintain an effective working relationship with all levels of district personnel and the community.

Pay: $48,000.00 - $54,000.00 per year
