Job Description:
South Shore Therapies is a premier pediatric occupational and speech practice providing therapy to children facing challenges in their lives. We are seeking a highly motivated, organized and detail-oriented team player to fill the position of Executive Assistant. This position will support the Director of Operations with projects, reporting, day-to-day administrative and operational activities and human resources support. This position provides for a busy workflow and working on tasks collaboratively as well as independently.
Duties/Responsibilities
Supporting Director of Operations administratively and operationally:
- List management for staffing, critical dates, invoices, licensing, contract renewals, etc.
- Staff communications (newsletters, updates, etc.)
- Credentialing of new therapist
- Maintaining and updating operational spreadsheets and data tracking
- Updating and maintaining procedure manuals
- Organizing company-wide events
- Interact as liaison with all vendors
- HR support to Director including onboarding, offboarding, and benefit enrollments.
- Assisting Director with projections and expense tracking
- Other projects and tasks related to company's operations
Requirements
- 2+ years experience in a management support role
- Demonstrated ability to plan and carry out details of assigned projects
- Strong organizational skills and attention to detail
- Resourcefulness in problem solving
- Excellent time management skills and ability to meet deadlines
- Ability to multi-task and prioritize multiple projects
- Ability to work independently and collaborate as part of a team
- Advanced proficiency using Office 365 products including Sharepoint, OneDrive, Teams, Excel, Word and other commonly used desktop applications in a Windows environment. Applicants should possess excel skills that include comfort level with formulas, tables, pivot tables, graphing
- Creativity and experience with Canva
- Proficiency with Adobe Acrobat
- Passion for technology and new digitals trends - general openness to new technologies and quick learner on various software platforms
- Excellent written and verbal communication skills
- Strong interpersonal relationships and listening skills
