Responsibilities
- Manage complex calendars, schedule appointments, and coordinate meetings for executives with precision and attention to detail.
- Handle incoming calls using multi-line phone systems with professionalism and courtesy, ensuring prompt customer support and information dissemination.
- Prepare, proofread, and edit correspondence, reports, presentations, and other documents with accuracy and clarity.
- Organize and maintain filing systems—both digital (Google Workspace, Microsoft Office) and physical—to ensure quick retrieval of information.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record-keeping and invoicing processes.
- Serve as a front desk representative, greeting visitors, managing office supplies inventory, and maintaining a welcoming environment.
- Support data entry projects, calendar management, travel arrangements, and personal assistant duties as needed to streamline daily operations.
- Provide exceptional customer service by responding promptly to inquiries via phone or email while demonstrating excellent phone etiquette.
- Coordinate office management activities including proofreading documents, organizing files, managing appointments, and supporting clerical tasks such as filing and data entry.
Requirements
- Proven experience in office management or administrative roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools (Gmail, Calendar, Docs), and basic computer literacy. Advanced Excel is Must to.
- Experience using multi-line phone systems and handling front desk responsibilities effectively.
- Spanish 100% / English > 70%
- Demonstrated clerical experience including data entry, proofreading, filing, and document management.
- Excellent time management skills with the ability to prioritize tasks in a fast-paced environment.
- Strong customer service orientation with professional phone etiquette and interpersonal skills.
- Familiarity with QuickBooks or bookkeeping software is a plus.
