Executive Administrative Assistant

Job Overview

We are seeking a highly organized and proactive Executive Administrative Assistant with a background in public health to support our executive team. The ideal candidate brings strong administrative expertise along with an understanding of public health environments, including research, community programs, and health-focused initiatives. This role is critical in supporting leadership, coordinating complex activities, and ensuring efficient day-to-day operations within a public health–oriented organization.

Responsibilities

  • Manage executive calendars, including scheduling meetings, coordinating recurring public health briefings, and arranging domestic and international travel related to health initiatives, conferences, or site visits.
  • Coordinate and support meetings, trainings, and events related to public health programs, stakeholder engagement, community outreach, or research initiatives.
  • Serve as the first point of contact for partners, community organizations, healthcare providers, researchers, and visitors, demonstrating professionalism and culturally responsive customer service.
  • Transcribe meeting notes, public health briefings, and strategic discussions; prepare summaries, reports, and presentation materials as needed.
  • Assist with office and program operations, including maintaining supplies, supporting front desk functions, and ensuring smooth administrative processes.
  • Support project and program coordination by tracking deadlines, deliverables, and documentation for grants, initiatives, or internal projects.
  • Handle sensitive and confidential information, including health-related, research, or organizational data, with discretion and strict professionalism.
  • Collaborate with multidisciplinary teams to support effective communication, workflow, and administrative alignment across projects and departments.

Qualifications

  • Proven experience as an administrative assistant or in a similar support role, preferably within public health settings.
  • Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); experience preparing reports or data summaries is a plus.
  • Excellent calendar and schedule management skills with strong attention to detail.
  • Experience coordinating events, meetings, or trainings in a public health or professional setting is preferred.
  • Outstanding customer service and communication skills, with the ability to interact effectively with diverse stakeholders.
  • Ability to transcribe notes accurately and efficiently from meetings, briefings, or presentations.
  • Familiarity with office management procedures and an understanding of professional and ethical standards common in public health environments.
  • Strong organizational and time-management skills, with the ability to prioritize multiple tasks and deadlines.
  • A proactive, adaptable approach to problem-solving, with the ability to work independently while supporting a collaborative team.

Job Type: Full-time

Pay: $20.00 - $22.42 per hour
