Overview
We are seeking a dynamic and highly organized Executive Administrative Assistant to join our team. Responsibilities
- Manage complex calendars, schedule appointments, and coordinate meetings for executives with precision and efficiency
- Prepare, proofread, and edit correspondence, reports, presentations, and other documents to ensure clarity and accuracy
- Handle incoming calls using multi-line phone systems with professional phone etiquette; direct inquiries appropriately
- Maintain organized filing systems both physically and digitally, including data entry and document management using Google Workspace and Microsoft Office tools
- Assist with office management duties such as supply ordering, equipment maintenance, and front desk responsibilities including greeting visitors and managing the front desk area
- Support bookkeeping activities using QuickBooks or similar accounting software; process invoices, expense reports, and basic financial records
- Provide personal assistant support as needed, including calendar management, travel arrangements, and task prioritization for busy executives
Experience
- Proven office management or administrative experience in a professional setting; previous clerical or customer service roles are highly valued
- Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and data entry skills
- Experience handling multi-line phone systems and practicing excellent phone etiquette in a customer support or receptionist capacity
- Bilingual abilities are preferred to effectively communicate with diverse clients and team members
- Familiarity with office equipment such as printers, scanners, fax machines, and basic bookkeeping software like QuickBooks is advantageous
- Strong organizational skills with the ability to prioritize tasks efficiently while managing multiple responsibilities simultaneously
- Previous experience in medical or dental receptionist roles is a plus but not required; a background in personal assistant duties or office support is beneficial
