Executive Administrative Assistant

Overview
We are seeking a dynamic and highly organized Executive Administrative Assistant to join our team! This vital role offers the opportunity to support executive leadership with a wide range of administrative functions, ensuring smooth daily operations and fostering an efficient work environment. Duties

  • Manage complex calendars, schedule appointments, and coordinate meetings for executive staff with precision and attention to detail
  • Handle incoming calls using multi-line phone systems with professionalism and excellent phone etiquette
  • Prepare, proofread, and edit correspondence, reports, and presentations to ensure clarity and accuracy
  • Maintain organized filing systems both physically and digitally, including data entry and document management using Dropbox and Microsoft Office
  • Serve as front desk receptionist: greet visitors, manage office supplies, and oversee general office operations
  • Support personal assistant duties including travel arrangements, calendar management, and task prioritization to maximize executive productivity

Experience

  • Proven office management experience with a strong background in administrative support roles
  • Previous clerical experience involving data entry, filing, proofreading, and document organization
  • Familiarity with multi-line phone systems, phone etiquette, and customer service best practices
  • Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook and Teams)
  • Experience in Commercial Real Estate and working with Commercial Tenants a plus
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Personal assistant experience or office experience supporting high-level executives is preferred

Pay: $50,000.00 - $75,000.00 per year
