Executive Administrative Assistant

Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team. This vital role provides comprehensive support to 2-3 project managers. The ideal candidate will demonstrate exceptional organizational skills, proactive problem-solving abilities, and a positive attitude. Responsibilities

  • Manage calendars, schedule appointments, and coordinate meetings efficiently to optimize Project Manager and Executives’ time.
  • Prepare, proofread, and edit correspondence, reports, presentations, and other documents with attention to detail.
  • Maintain organized filing systems digitally, including data entry and record keeping using tools like Google Workspace and Microsoft Office.
  • Assist with bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks entries to support financial management.
  • Support personal assistant tasks including travel arrangements, calendar management, and task prioritization.
  • Provide support via phone and email, ensuring clear communication and timely responses.
  • Coordinate logistics for meetings and events, including room bookings, catering arrangements, and technical setup.

Requirements

  • Proven experience in an administrative or executive assistant role is a plus.
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and familiarity with data entry software like QuickBooks is a plus.
  • Excellent organizational skills with the ability to multitask effectively
  • Demonstrated ability to handle confidential information discreetly and professionally.
  • Experience in office management tasks such as filing systems, inventory management, or bookkeeping is preferred.
  • Excellent time management skills with the ability to prioritize tasks efficiently.
  • Personal assistant experience or background supporting senior executives is advantageous.

Pay: $20.00 - $22.50 per hour
