Executive Administrative Assistant

Job Overview
We are seeking a dynamic and highly organized Executive Assistant to join our ministry team! The Executive Assistant provides high-level, confidential administrative support to the Senior Pastor and executive leadership of Colonial Baptist Church. This role functions as a primary liaison between the Senior Pastor, ministry leaders, and the congregation, requiring the exercise of independent judgment in managing complex schedules, communications, and special projects. The Executive Assistant ensures the Senior Pastor’s time is leveraged effectively and represents the office of the Senior Pastor with the highest degree of professionalism.

Responsibilities

  • Manage the Senior Pastor's complex calendar, prioritizing requests and resolving scheduling conflicts independently to maximize leadership efficiency.
  • Serve as the primary point of contact for internal and external stakeholders on matters related to the Senior Pastor's office.
  • Draft, review, and finalize sensitive correspondence, reports, and presentations for the Senior Pastor.
  • Lead and manage special administrative projects as assigned, ensuring they are completed within designated timelines and organizational standards.
  • Coordinate executive meetings, including the preparation of agendas, briefing materials, and minutes for Committee or Ministry leaders.
  • Oversee the maintenance of confidential church records and databases, ensuring high-level security and data integrity.
  • Evaluate and implement office procedures and systems to improve the operational efficiency of the church office.

  • Ability to maintain confidentiality and integrity.
  • Proven experience in an office environment with executive level administrative responsibilities.
  • Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook).
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
  • Demonstrated experience with data entry, filing systems, proofreading, and handling multi-line phone systems.
  • Knowledge of office management procedures including calendar management, bookkeeping basics, and customer support practices.

Education

  • Bachelor’s degree in business administration, communication, or a related field preferred; or equivalent high-level professional experience.

Experience

  • 5+ years of experience in an administrative support role, with at least 2 years supporting executive-level leadership.
  • Prior experience working in a church or non-profit environment is a plus.
