Executive Administrative Assistant (Contract)

Summary
This position provides sophisticated administrative leadership and operational support to senior executives in a dynamic, fast-paced environment. Serving as a trusted partner to leadership, this role combines expert-level calendar and travel coordination with strategic operational execution and administrative team mentorship. The successful candidate will act as a central hub for communication, coordination, and decision support, ensuring that executive priorities are met with precision and professionalism. This role requires exceptional judgment, discretion, and the ability to anticipate needs while managing multiple high-stakes responsibilities simultaneously. Beyond individual contribution, this position plays a vital leadership role within the administrative community, setting standards, coaching peers, and driving continuous improvement across operational processes.
Job Responsibilities

Manage complex, high-volume executive calendars with strategic prioritization, conflict resolution, and proactive coordination across multiple stakeholders and time zones

Plan and execute comprehensive domestic and international travel arrangements, including detailed itineraries, documentation, real-time adjustments, and compliance with corporate policies

Partner with Chiefs of Staff and leadership teams to support Rhythm of Business cadences, coordinate leadership meetings, and track action items to completion

Prepare and distribute agendas, meeting materials, reports, memos, letters, financial statements, invoices, and other business documents with accuracy and attention to detail

Serve as Lead Admin by mentoring and coaching other administrative professionals, setting clear expectations, and building team capability through guidance and constructive feedback

Perform general office management duties including ordering supplies, maintaining records management systems, and performing basic bookkeeping functions

File, retrieve, and organize corporate documents, records, and reports while maintaining strict confidentiality and information security

Review and analyze incoming communications, submissions, and reports to assess significance and determine appropriate distribution and follow-up

Identify process gaps and implement operational improvements to enhance efficiency and effectiveness across administrative functions

Provide real-time issue resolution and troubleshooting for urgent requests, travel disruptions, and scheduling conflicts with minimal impact to executive productivity

Coordinate event planning, space management, and resource tracking to support business operations and team activities
Requirements
-
5-7 years of progressive administrative experience supporting senior executives
-
5+ years of experience managing complex executive calendars for VP or CVP level leaders in fast-paced environments
-
5+ years of experience planning and managing end-to-end domestic and international executive travel

3-5+ years of experience supporting business operations, Rhythm of Business execution, and leadership meeting coordination

Experience working directly with Chiefs of Staff, finance partners, and cross-functional leadership teams

Demonstrated experience in a lead or mentoring capacity within an administrative team

Exceptional verbal and written communication skills with the ability to interact professionally at all organizational levels

Advanced multi-tasking and time management abilities with strong prioritization and organizational skills

Outstanding customer service orientation and interpersonal skills to build effective working relationships

Ability to work independently with minimal supervision while exercising sound judgment and discretion

Strong capability to maintain confidentiality and handle sensitive information with appropriate care

Mentoring and coaching skills to provide support, guidance, and constructive performance feedback to peers

Proficiency with computer applications including Microsoft Word, Excel, and PowerPoint

Pay Range*: $39 - $44 per hour
