Executive Administrative Assistant (Contract)
Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.
Summary:
This position provides critical high-level administrative support to senior leadership, serving as a trusted partner in managing complex schedules, coordinating cross-functional meetings, and ensuring seamless day-to-day operations. The role requires a proactive approach to anticipating leadership needs, managing competing priorities with minimal direction, and maintaining the highest standards of professionalism and discretion. Success in this position depends on exceptional organizational abilities, strong communication skills, and the capacity to navigate a fast-paced environment where priorities shift frequently. The individual will serve as a key liaison between leadership and internal stakeholders, managing logistics, tracking critical action items, and ensuring follow-through on strategic priorities while handling sensitive information with appropriate confidentiality.
Job Responsibilities:
Manage complex executive calendars including multi-time zone scheduling, meeting prioritization, and accommodation of frequent last-minute changes
Coordinate internal and external meetings, including preparation of materials, agenda management, and follow-up on action items
Handle travel arrangements and expense management for leadership team members
Prepare and edit correspondence, reports, presentations, and other documents as needed
Serve as primary point of contact between executives and internal/external stakeholders
Support planning and execution of team offsites and special events
Maintain organized filing systems for corporate documents, records, and reports
Process incoming correspondence including emails, ensuring timely responses and appropriate routing
Perform general office duties including supply ordering, bookkeeping, and records management
Track and follow up on priorities to ensure timely completion of deliverables
Requirements:
2-4 years of administrative or executive assistant experience
2+ years of experience managing complex calendars for senior leaders
2+ years of demonstrated experience coordinating meetings, managing logistics, and supporting executive workflows in a corporate environment
Prior experience working with the organization's internal tools and processes is required
Exceptional verbal and written communication abilities
Strong interpersonal skills and customer service orientation
Advanced proficiency with Microsoft Outlook, Teams, Word, Excel, and PowerPoint
Superior organizational skills with keen attention to detail
Ability to manage multiple priorities simultaneously in a fast-paced environment
Capacity to work independently and exercise sound judgment
Discretion in handling confidential and sensitive information
Proactive problem-solving and anticipatory thinking
Flexibility and adaptability to changing priorities
Additional Details:
Location: Remote
Duration: 2 months
Pay Range*: $28 - $32 per hour
Weekly Schedule: 40 hours
Job Status: Non-Exempt
