Job Overview
We are seeking a highly organized and proactive Executive Administrative Assistant for a blended role in supporting the company in their day-to-day activities. This role requires a very detail-oriented individual with strong administrative skills, communication skills, and a strong ability to manage multiple tasks efficiently. The ideal candidate will have experience in scheduling, time management, and clerical work, while also being flexible and a fast learner. While experience in a similar role is preferred, we are willing to train the right person.
Responsibilities
- Provide comprehensive executive administrative support to senior management.
- Schedule clients, send reminders of appointments, complete intake paperwork.
- Communicate with the staff and clients in a professional manner regarding any needs, complaints, etc.
- Prepare documents, reports, and other material with proficiency in Microsoft Office applications.
- Keeping the calendar for the President
- Maintain inventory of office supplies and ordering of in-office supplies.
- Keeping the office clean
- Check the company mailboxes and P.O. Box on a regular basis
- Complete and file purchase order requests and expense receipts
Requirements
- Proven experience in an administrative role or as an executive assistant with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Ability to maintain all work requirements in a fast-paced setting.
- Must have dependable transportation
- Be detail oriented.
- Demonstrated customer service skills with a friendly demeanor when interacting with upper management and team members.
- Ability to manage multiple priorities effectively while maintaining a high level of professionalism.
- Have a flexible schedule and the ability to step in as needed any time the need arises.
- Possess a High School Diploma and Valid Driver's License
- Must be able to pass a background check and drug screening and any other screening that may be deemed necessary.
