Job Overview
We are seeking a highly organized and proactive Executive Administrative Assistant to support our executive team and streamline daily operations. The ideal candidate will possess exceptional office management skills, strong communication abilities, and a keen attention to detail. This paid position offers an opportunity to contribute to a dynamic healthcare environment while utilizing a broad range of administrative skills. Bookkeeping experience is required.
Responsibilities
- Manage complex calendars, schedule appointments, and coordinate meetings for executive staff with precision and efficiency.
- Handle multi-line phone systems, screen calls, and direct inquiries appropriately while maintaining professional phone etiquette.
- Prepare correspondence, reports, and presentations using Microsoft Office and tools with accuracy and clarity.
- Maintain organized filing systems, perform data entry, and ensure the confidentiality of sensitive information.
- Assist with bookkeeping tasks using QuickBooks or similar software to support financial recordkeeping.
- Support office management duties such as supply ordering, inventory control, and maintaining a tidy work environment.
- Run business related errand in person vehicle, mileage will be paid.
Qualifications
- Proven experience in office administration or executive support roles within healthcare or related fields.
- Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, data entry, Quickbook desktop and general office software.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
- Experience with clerical duties such as proofreading, filing, and calendar management is essential.
- Knowledge of medical receptionist or dental receptionist duties is a plus; familiarity with medical terminology is advantageous.
- Demonstrated customer service skills combined with professional phone etiquette and time management capabilities. Pay: $13.72 - $23.36 per hour
