Executive Administrative Concierge

As an Individual Contributor, this role supports the day-to-day operations and experience of the 3rd Floor of the Bank of Hawaii Kahala Branch Building while representing the Bank of Hawaii brand to internal and external stakeholders. The position coordinates administrative, hospitality, and facilities-related activities to ensure a professional, welcoming, and client-ready environment.
High school diploma or G.E.D.

Minimum 3 years of experience in administrative, clerical, or client-facing support roles.

Proficient with Microsoft Office applications.

Advanced knowledge and skill proficiency in Accuracy & Efficiency, Communication, Customer Experience, Organization, Professionalism, Scheduling, and Technology Literacy.

Intermediate knowledge and skill proficiency in Decision Making & Judgement and Relationship Building.

Demonstrated client-centric mindset, strong interpersonal and communication skills, attention to detail, organizational effectiveness, professionalism, and the ability to collaborate effectively while anticipating needs and taking initiative.

Good understanding of audio-visual equipment, Bluetooth, network and Wi-Fi connections, and bank information security requirements. Knowledge of or ability to use Bank software and systems. Experience with the following helpful but not required: FIS, StarNet/Star PC, OpenText, NetImage IV, etc.

First aid skills / CPR certification preferred.
Reception and Front-of-House Support

  • Professionally greets, directs, and assists visitors, clients, and business professionals, ensuring a positive first impression aligned with brand standards. Answers and routes telephone calls, receives and distributes mail and deliveries, and maintains the appearance of reception and shared areas in accordance with professional guidelines.
Facilities, Access, and Vendor Coordination

  • Submits facilities work orders, coordinates vendor access, and manages security card access for tenants. Supports new tenant setup and orientation while maintaining accurate schedules for conference rooms and shared spaces.
Administrative and Technology Support

  • Assists with basic technology troubleshooting and coordinates with IT or service providers for advanced support. Supports the use of audio-visual equipment and office systems while maintaining organization of supplies, equipment, and documentation.
Client Experience and Event Support

  • Assists with client, customer, and internal events by coordinating catering, setup, billing, and hospitality needs. Ensures conference rooms and common areas are consistently client-ready and works collaboratively to anticipate and fulfill service needs.
Performs other responsibilities and duties as assigned.
