About the Role
Property Solvers Real Estate is hiring an experienced Office Administrator with a strong background in Real Estate broker operations in Dubai or other similar sectors such as Construction/Developers/Subcontractors.
This role requires someone highly organized, proactive, and familiar with the day-to-day administrative, documentation, and coordination needs of a real estate environment. You will play a key role in ensuring smooth office operations and supporting management, sales, and project teams.
Key Responsibilities
Real Estate Support
- Assist in coordinating with developers, consultants, contractors, and brokers
- Maintain and organize project files, approvals, and property-related documentation
- Support documentation related to project launches, handovers, and post-handover activities
- Preparation of contracts, agreements, forms, listings and Ads
Compliance & Documentation
- Maintain organized digital and physical filing systems
- Assist with DLD-related documentation, approvals, and record-keeping
- Ensure proper storage of contracts, MOUs, NOCs, title deeds, and legal documents
- Coordinate document submissions with internal teams and external stakeholders
Finance & Accounts Support
- Support basic accounting tasks such as:
- Processing invoices and payments
- Expense tracking and petty cash management
- Reconciling SOAs and vendor records
- Coordinate with finance teams and external auditors when required
Management & Team Support
- Provide administrative support to senior management
- Assist HR with employee records, attendance tracking, and internal coordination
- Handle confidential information with professionalism and discretion
- Perform additional administrative duties as required to support business efficiency
Office & Administrative Operations
- Manage daily office operations and ensure smooth functioning of the workplace
- Act as the first point of contact for visitors, calls, and emails
- Coordinate meetings, calendars, and conference room bookings
- Prepare letters, memos, reports, and internal documentation
Requirements & Qualifications
- Bachelor’s degree in related field
- Minimum 1–2 years of experience as an Office Administrator or similar position in a Real Estate company/or similar field in Dubai (mandatory)
- Strong understanding of Dubai real estate documentation and processes
- Proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint) and Google Workspace
- Excellent written and verbal communication skills
- Strong organizational, multitasking, and time-management abilities
- Professional, detail-oriented, and proactive attitude
- Ability to work independently in a fast-paced environment

Job Type: Full-time
Pay: AED3,000.00 - AED3,500.00 per month
