Executive Assistant

We are seeking a highly organized, proactive, and resourceful individual to join our team as an Executive Assistant. This role provides direct support to senior leadership while also ensuring the smooth day-to-day operations of the office. The ideal candidate thrives in a fast-paced environment, can balance multiple priorities, and demonstrates exceptional communication and problem-solving skills.


Key Responsibilities

Executive Support

  • Provide high-level administrative support to executives, including calendar management, scheduling meetings, and coordinating travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Serve as a gatekeeper and liaison for executives, ensuring effective communication across the organization.
  • Assist with meeting preparation, including agendas, materials, and minutes.
  • Handle confidential information with discretion and professionalism.

Office Management

  • Oversee daily office operations to maintain a productive and welcoming work environment.
  • Manage office supplies, equipment, and vendor relationships.
  • Coordinate facility needs, including maintenance requests and workspace organization.
  • Support onboarding of new employees by setting up workspaces, equipment, and office orientation.
  • Ensure compliance with office policies, procedures, and health/safety standards.

Administrative & Team Support

  • Manage company records, filing systems, and databases for accuracy and accessibility.
  • Assist with event planning, team meetings, and company functions.
  • Track budgets, invoices, and expense reports related to office operations.
  • Support HR and leadership with employee engagement initiatives and internal communications.

Qualifications

  • Proven experience as an Executive Assistant, Office Manager, or similar role.
  • Strong organizational, time-management, and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and/or Google Workspace.
  • Ability to handle sensitive and confidential information with integrity.
  • Self-starter who can anticipate needs and take initiative.

Preferred Skills

  • Experience in vendor management and basic contract administration.
  • Knowledge of bookkeeping or budget tracking.
  • Event planning or project coordination experience.
  • Tech-savvy with the ability to learn and implement new tools or systems quickly.
