Role Overview
The Executive Assistant will provide high-level administrative, organizational, and strategic support to the leadership team. This role requires an experienced professional who thrives in a dynamic, international environment and is comfortable working across multiple functions—administration, project coordination, education, and strategic partnerships. A particular focus will be on supporting initiatives in the Middle East, where Ayaat Stiftung is building long-term educational and research partnerships.
Key Responsibilities

Provide executive-level support to the Managing Director and Board, including calendar management, correspondence, and travel coordination.

Support strategic partnership development with stakeholders in education, research, and cultural exchange, especially in the Middle East.

Conduct background research and prepare briefing materials, reports, and presentations for leadership and external partners.

Assist in planning, monitoring, and reporting on foundation projects in Germany and abroad.

Coordinate with internal teams and external partners to ensure smooth communication and workflow across initiatives.

Manage documentation, contracts, and record-keeping with attention to accuracy and confidentiality.

Represent Ayaat Stiftung in communications with international partners, demonstrating professionalism and cultural sensitivity.

Contribute to event planning, workshops, and conferences organized by the foundation.
Qualifications

Bachelor’s degree in international relations, education, business administration, or a related field; Master’s degree preferred.

Minimum 5 years of professional experience in executive assistance, project coordination, or international program management.

Strong background in education, non-profit management, or partnerships in the Middle East is highly desirable.

Excellent organizational and multitasking skills, with the ability to work independently and under pressure.

Exceptional communication skills in English; proficiency in German required; Arabic is a strong advantage.

Proven ability to build and maintain relationships with diverse stakeholders in multicultural contexts.

High level of discretion, integrity, and professionalism.

Proficiency in MS Office, digital collaboration tools, and project management systems.
