Serve as a trusted resource for a C-suite level executive, managing a variety of administrative functions.

Schedule and organize internal and external meetings, conference/video calls, and appointments for multiple executives; create agendas, arrange catering, and prepare and distribute meeting materials; prioritize and maintain complex calendars with little or no input from the executive.

Manage complex and time-sensitive travel arrangements, often with minimal notice, and adapt for any last-minute conflicts.

Oversee ongoing executive expenses, ensuring timely and accurate expense reports in line with company policies.

Liaise with internal and external partners of executive, greeting and hosting them during in-person meetings.

Create presentation-quality decks and communications at the direction of senior executives, including ad hoc research as needed.

Maintain the highest standards of professionalism and discretion, especially in handling sensitive or confidential information.

Exhibit a strong understanding of administrative responsibilities, operating proactively and with minimal direction.

Collaborate effectively with the broader Executive Support team and assist with additional ad hoc projects as needed.
Candidate Background & Attributes

5+ years of experience supporting senior-level executives.

Exceptional attention to detail, organization, and execution.

Strong time management and multitasking abilities, with an ability to prioritize tasks and adjust quickly to changing needs.

Positive, helpful, and collaborative disposition; capable of maintaining productive relationships with all teammates.

Proactive self-starter with the ability to work independently and anticipate the needs of executives.

Discretion and confidentiality are essential when managing sensitive information and materials.

Strong verbal and written communication skills with excellent telephone and email etiquette.

High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with the aptitude and interest to learn new software and systems, as needed.

Ability to stand, bend, kneel, lift (up to 30 pounds, as necessary), and sit for extended periods of time.

Bachelor's degree is preferred, but not required.
The Pay Range For This Role Is
85,000 - 110,000 USD per year(New York)
