Overview

We are looking for a high-trust, high-impact Executive Assistant to assist the CEO across all aspects of the business. You will sit at the center of a dynamic, multi-platform company that touches podcasts, YouTube, publishing, live events, and creators. Your job is to create leverage for the CEO - clearing roadblocks, structuring chaos, and ensuring priorities turn into execution.


Salary Range: $50k-60k


Essential Functions:

  • Manage a complex professional and personal calendar, including internal and external meetings.
  • Proactively anticipate conflicts and ensure the schedule reflects business priorities.
  • Prepare meeting materials such as research, briefs, agendas, and talking points. Capture and distribute notes with clear action items.
  • Draft and maintain decks, documents, and materials for CEO meetings, presentations, and engagements.
  • Manage administrative logistics such as expense reports, subscriptions, mailings, office supplies, kitchen ordering and restocking, general administrative needs, and onboarding tasks for department and new employees.
  • Handle vendor invoices, payments, and basic financial tracking to support smooth day to day operations.
  • Manage communication with the building operations team to address office needs, repairs, access, and day to day facilities support.
  • Book and manage personal and professional travel, including flights, hotels, ground transportation, reservations, and detailed itineraries.
  • Plan complex personal travel and destination vacations for the CEO and family, including multi-stop itineraries.
  • Organize private events and dinners for family, talent, and key relationships.
  • Plan and execute team offsites, team meetings, and dinners, including handling venues, meals, logistics, and communication.
  • Manage a gifting calendar for holidays, milestones, and creator and partner needs.
  • Support preparation for speaking engagements, conferences, media appearances, and industry events.
  • Handle occasional personal errands and ad hoc tasks.


Prerequisite Knowledge, Skills, and Abilities:

  • 2+ years of experience as an executive assistant or similar role in the entertainment or content production industry. 
  • Experience coordinating and managing travel plans and events, both personal and professional.
  • Exceptional organizational skills with a strong ability to prioritize tasks, meet tight deadlines, manage multiple calendars, coordinate complex schedules, and handle large volumes of email and correspondence. 
  • Ability to prioritize multiple projects and expectations and maintain a sharp focus while managing competing priorities.
  • Be proactive and anticipate needs and/or changes that may occur

  • Proficient in presentation deck building for meetings. 
  • Proficient in using Gmail, Google Drive and Google Calendar. 
  • Ability to comfortably work closely and discreetly with well-known talent and executives. 
  • Ability to handle sensitive information with a high degree of confidentiality and professionalism.
  • High level of accuracy and attention to detail in all tasks, including travel details, documentation, scheduling, event planning and coordination.


Physical and Mental Demands:

  • Ability to stand and sit for extended periods of time.
  • Ability to lift up to 50 pounds in a safe and prudent manner.
  • Ability to work and communicate well with other employees, management, individuals well-known to the public, creators, and studios.
  • Ability to perform work utilizing manual dexterity of the hands.
  • Ability to reach above and below shoulders, bend, stoop, squat, crouch, climb, kneel, push and/or pull, and twist.
  • Ability to read, write, and understand English.
  • Ability to work in a fast-paced environment.
  • Ability to work in the Los Angeles PAVE Studios office environment on a full-time basis, with some night and weekend work, as required. 
  • Ability to remain calm and composed under pressure and in high-stress situations.
  • Ability to succeed in a fast-paced, around-the-clock work environment.
  • Correctable vision and hearing.
