About the Role
As Property Shop Investment – the UAE’s #1 real estate company with over 1,300 employees from 50+ nationalities – continues to grow and expand internationally, we are seeking a highly organized and proactive Executive Assistant to support our management. This pivotal role ensures the smooth operation of the Executive Office and requires exceptional communication, discretion, and organizational skills.
Key Responsibilities
Executive Support:
- Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare meeting agendas, presentations, and briefing materials.
- Handle confidential correspondence and draft official communications.
- Screen and prioritize incoming communications and requests for the CEO’s attention.
Operational Coordination
- Liaise with internal departments to ensure alignment with the CEO’s directives.
- Prepare business reports, project updates, and executive summaries.
- Attend meetings when required and produce detailed minutes and follow-up actions.
- Support strategic initiatives and special projects.
Travel & Event Management
- Organize complex domestic and international travel itineraries, visas, and logistics.
- Coordinate CEO’s participation in events, conferences, and meetings.
Office & Team Support
- Maintain organized records and databases for the Executive Office.
- Communicate professionally with external stakeholders and partners.
- Assist in coordinating communication between the CEO and leadership team.
Qualifications & Requirements
- Bachelor’s degree in Business Administration, Management, or related field.
- 4-6 years of experience as an Executive Assistant, preferably supporting C-level executives.
- Excellent written and verbal communication skills in English (Arabic is a plus).
- Strong organizational skills and ability to manage multiple priorities under pressure.
- Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).
- High level of professionalism, discretion, and integrity.
