We are seeking a highly qualified and multilingual Executive Assistant to provide comprehensive administrative, technical, and strategic support directly to the Director. The ideal candidate possesses advanced academic credentials (MBA in Finance/Business), project management and business analysis experience, and the ability to work independently using business language across multicultural environments. This role involves managing complex schedules, coordinating projects, handling confidential matters, and supporting the Director in decision-making, while leveraging technical and analytical knowledge to optimize office operations and strategic initiatives.

KEY RESPONSIBILITIES

Executive Support & Administration

  • Manage and coordinate the Director’s calendar, meetings, and appointments efficiently.
  • Prepare, edit, and review correspondence, reports, presentations, and meeting materials.
  • Handle sensitive and confidential information with discretion.
  • Conduct research and prepare business reports, financial summaries, and strategic insights.
  • Assist with project management and ensure timely completion of strategic initiatives.
  • Provide personal support to the Director, including private scheduling and planning.

Travel & Event Coordination

  • Arrange and manage domestic and international travel, including itineraries, accommodations, and logistics.
  • Plan and execute corporate events, leadership meetings, conferences, and team building activities.
  • Liaise with vendors, service providers, and internal teams to ensure smooth operations.

Office & Operations Management

  • Oversee daily office operations to ensure efficiency and productivity.
  • Manage budgets, expenses, and office supply inventories.
  • Implement and maintain office procedures, systems, and policies.
  • Supervise and support administrative staff, including training and onboarding.

Stakeholder Communication

  • Serve as the main point of contact between the Director, internal teams, clients, and external partners.
  • Facilitate communication across teams and stakeholders to streamline workflows.
  • Prepare agendas, meeting briefs, minutes, and follow-ups for executive sessions.

Continuous Improvement & Strategic Initiatives

  • Own and execute special projects, including operational improvements, corporate initiatives, and strategic programs.
  • Support corporate communications, leadership calls, webinars, and virtual town halls.
  • Optimize administrative workflows and implement tools to enhance efficiency.

QUALIFICATIONS

Education

  • MBA in Finance or Business preferred • Master’s in Correspondence advantageous
  • Bachelor’s degree in Commerce, Psychology, Business Administration, or related field

Experience

  • 5+ years supporting C-level executives or Directors in multinational or technical environments
  • Project management and business analysis experience preferred
  • Proven experience in office management, corporate travel management, and event coordination

Technical Skills

  • Proficiency in MS Office (Excel, Word, PowerPoint, Outlook), Teams, Zoom, Asana, Salesforce, and project management tools
  • Technical knowledge and understanding of business, finance, and operational processes
  • Familiarity with corporate communication tools and travel booking systems

Communication & Language Skills

  • Multilingual; fluent in English and business language
  • Strong business communication skills for internal and external stakeholder engagement

Job Type: Full-time

Pay: From QAR4,000.00 per month

Ability to commute/relocate:

  • Doha: Reliably commute or planning to relocate before starting work (Preferred)
