We are looking for a versatile and proactive Executive Assistant who plays a vital role in supporting the CEO, ensuring smooth day-to-day operations, and managing communication and coordination across teams and stakeholders. This position combines high-level administrative expertise with strong project management and digital communication skills. The ideal candidate is organized, proactive, and able to manage dynamic responsibilities while maintaining professionalism and confidentiality.

Key Responsibilities

1. Executive & Administrative Support

  • Manage the CEO’s daily schedule, calendar, appointments, and travel arrangements.
  • Prepare meeting materials, presentations, briefing notes, and reports.
  • Handle confidential correspondence, emails, phone calls, and documentation.
  • Maintain organized filing systems, databases, and record archives.
  • Anticipate requirements, prioritize tasks, and ensure smooth workflow for the CEO’s office.

2. Meeting, Conference & Project Coordination

  • Coordinate and execute meetings, conferences, and special projects, including preparing agendas, recording minutes, tracking action items, and ensuring timely follow-ups.
  • Monitor progress across multiple initiatives to ensure deadlines and deliverables are met.
  • Manage stakeholder coordination and documentation for internal and external engagements.

3. Communication & Stakeholder Management

  • Serve as the primary point of contact between the CEO and internal/external stakeholders.
  • Screen, prioritize, and respond to communications on behalf of the CEO.
  • Facilitate effective information flow between the CEO and executive leadership.
  • Support the preparation of official correspondence and presentations.

4. Office & Operational Support

  • Oversee office operations, ensuring availability of supplies, equipment, and resources.
  • Collaborate closely with administrative staff to maintain efficient workflows.
  • Ensure the CEO’s office environment functions smoothly and professionally.

5. Event & Social Media Coordination Support

  • Support the planning and execution of corporate events and meetings.
  • Collaborate with the design and marketing team to ensure timely creation and scheduling of posts.
  • Assist in aligning internal teams for events, and communication initiatives.

Education & Experience

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • 1–2 years of experience in executive support or coordination roles (corporate experience preferred).
