Executive Assistant

The Executive Assistant acts as a trusted partner to the CEO, helping translate ideas into action, keeping priorities on track, and making sure decisions are followed through.


Key Accountabilities:


  • Assist in preparing office budget.
  • Primary focus on internal clients, including the CEO, Board, Committees and Executive management.
  • Ensures external partners, advisors, and stakeholders experience professional and timely engagement when dealing with the CEO’s office.
  • Coordinates with consultants, advisors, and external service providers supporting the CEO.
  • Ensures information requests, approvals, and follow-ups are handled efficiently.
  • Supports compliance with governance, reporting, and confidentiality requirements.


1. Business analysis & decision support:

• Prepare structured analyses, dashboards, and briefing notes to support CEO decision-making.

• Synthesize financial, operational, and strategic data into clear executive insights.

• Track KPIs, initiatives, and risks across the organization and flag deviations early.

2. CEO office coordination & execution:

• Act as an extension of the CEO’s office in coordinating cross-functional initiatives.

• Follow up with ExCom and senior management on agreed actions, milestones, and deliverables.

• Ensure alignment, cadence, and accountability across strategic priorities.

3. Project management:

• Structure, track, and report on key strategic and transformation projects.

• Maintain project plans, timelines, dependencies, and executive summaries.

• Support preparation of Board materials, management presentations, and steering updates.

4. Stakeholder & communication management

• Draft high-quality executive communications, presentations, and briefing packs.

• Interface confidently with senior executives, external partners, and advisors on behalf of the CEO.

• Filter, prioritize, and contextualize information flowing to the CEO.

5. Strategic mindset & discretion:

• Demonstrate strong commercial acumen and understanding of business drivers.

• Handle sensitive information with absolute confidentiality and sound judgment.

• Anticipate CEO needs and proactively propose solutions rather than waiting for instructions.

6. Additional Responsibilities:

  • Manage the CEO’s calendar, meetings and scheduling.
  • Prepare agendas, take minutes and track actions.
  • Handle correspondence and calls professionally.
  • Organize documents, records, and confidential files.
  • Coordinate travel, itineraries, and meeting logistics.
  • Act as the first point of contact for the CEO’s office.


Education:


  • Degree in business administration or relative field.


Experience:


  • At least 3 years’ experience as Assistant/Secretary.


Skills:


  • Strong analytical and business understanding
  • Excellent written and verbal communication
  • High attention to detail and strong follow-through
  • Confident with PowerPoint, Excel, and Word
  • Ability to manage multiple priorities under pressure
