Job Overview
We are seeking a dynamic and highly organized Executive Assistant to provide comprehensive administrative support to our executive leadership team. This vital role ensures smooth daily operations, manages complex schedules, and facilitates effective communication across departments. Duties
- Manage and maintain detailed calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
- Provide executive administrative support by preparing reports, correspondence, and presentations with accuracy through proofreading, transcription, and data entry.
- Coordinate projects and events from inception to completion, including planning logistics, booking venues, managing vendor relationships, and ensuring deadlines are met.
- Handle office management tasks such as filing, organizing documents, maintaining office supplies, and overseeing front desk operations to ensure a welcoming environment.
- Utilize QuickBooks for bookkeeping tasks like invoicing, expense tracking, and financial record keeping to support the organization’s fiscal health.
- Demonstrate excellent phone etiquette while managing multi-line phone systems and responding promptly to inquiries from clients, vendors, and team members.
- Support personal assistant duties as needed by managing confidential information, handling personal appointments, and assisting with special projects.
- Use Microsoft Office Suite (Word, Excel, PowerPoint) for document creation and editing; ensure all materials are professional and error-free.
- Assist with transcription services for meetings or dictations; ensure timely delivery of accurate records for internal use.
Experience
- Proven experience as an Executive Assistant or in a similar administrative role supporting senior leadership.
- Demonstrated proficiency in office management tools including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs), and data entry systems.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment while maintaining attention to detail.
- Experience with bookkeeping software such as QuickBooks is highly desirable.
- Excellent communication skills—both written and verbal—and professional phone etiquette are essential.
- Prior experience with event planning, project coordination, and calendar management is preferred.
- Familiarity with office equipment including multi-line phone systems and office management software like DocuSign for electronic signatures.
