Executive Assistant

As an Executive Assistant, you will be a critical force multiplier for our executive leadership team. You’ll build and operate the systems that keep executive time, communication, and coordination running smoothly, enabling leaders to focus on the highest-impact work. This role partners closely with the Chief of Staff and supports the full executive team across calendars, inboxes, travel, onsite visits, executive offsites, and other high-touch engagements.

What You’ll Do

Calendar Management & Scheduling

  • Own calendar coordination for executive leadership team, maximizing focus and strategic time
  • Schedule meetings (remote and in-person) with investors, partners, and customers
  • Proactively manage conflicts, prioritize time effectively, and protect deep-work time
  • Ensure executives are consistently prepared with clear agendas, pre-reads, objectives, and relevant context

Executive Team Administrative Support

  • Hold regular 1:1s with executives to support priority projects, tasks, and meetings
  • Create clear, reliable communication between executive team members and internal and external stakeholders
  • Anticipate needs, surface risks, and remove friction before it impacts execution

Offsite, Event, & Meeting Coordination

  • Lead coordination of quarterly executive offsites, including accommodations, travel, and logistics
  • Own white-glove experience for exec-level visitors to Path Robotics, such as investors, key customers, and government / industry partners
  • Design seamless on-site logistics (conference rooms, meals, agendas, preparation materials, and flow of the day)

Travel & Logistics

  • Plan and manage complex executive travel, including flights, accommodations, itineraries, and on-site logistics

Systems & Continuous Improvement

  • Build, document, and continuously refine systems for executive operations
  • Support a high standard for organization, preparation, communication, and follow-through across the leadership team
  • Capture executive preferences and working styles to improve effectiveness

Who You Are

  • Experience supporting leaders or executive teams in fast-paced environments
  • Highly trusted, discreet, and comfortable handling confidential information (you will have direct visibility into confidential company information and executive matters)
  • Strong bias to action – able to prioritize urgent matters, anticipate needs, and move quickly with minimal direction
  • Systems-oriented thinker who enjoys building structure and processes for scale
  • Exceptionally detail-oriented with high standard for accuracy, organization, and follow-through
  • Comfortable juggling multiple priorities and stakeholders at a time
  • Tech-savvy and quick to learn / adopt new tools (Google Workspace, Slack, Airtable)

Job Type: Full-time

Pay: $65,000.00 - $80,000.00 per year
