Overview

Strategic Support Role in a High-Growth Auction Business

Join Lambrecht Auction, Inc. as the Executive Assistant to the Owner. Based on-site at our Sidney, NY headquarters, you will serve as a Strategic Buffer, allowing the owner to shift focus from routine tasks to strategic growth. You'll be the organizational force that manages priorities, organizes workflows, and implements systems to maximize productivity. You'll work directly with the business owner to manage priorities, prepare for critical meetings, and communicate with division managers to gather information and notes. This role is essential to enabling the owner to shift focus from task completion to strategic thinking, planning, and growth-minded activities.

This role requires absolute discretion and confidentiality. You'll be handling sensitive business and personal information, and an NDA will be required.

What You'll Master- Core Responsibilities

Strategic Buffer (Calendar & Time Management) - Manage the owner's calendar strategically to maximize productivity, prioritize meeting requests based on business impact, and protect focus time for strategic work

Filtering & Gatekeeping - Determine which issues require the owner's direct attention versus those that can be delegated to division managers, protect the owner's time from unnecessary interruptions, and redirect inquiries to appropriate team members

Workflow Force Multiplier (AI & Automation) - Actively hunt for ways to automate manual steps, implement AI tools to eliminate repetitive tasks, streamline workflows, use AI for projects and brainstorming, and continuously identify opportunities to work smarter

Meeting Excellence - Prepare agendas and gather reports, numbers, and documents ready for review. Capture meeting notes, recaps, and action items, then immediately update to-dos and key notes to all projects

Communication Management - Clean and organize email inbox, filter phone calls and manage voicemails, draft responses for routine communications, and handle scheduling with internal and external contacts

Information Coordination - Communicate with division managers to gather information, notes, reports, and documents needed for decision-making and meeting preparation

High-Impact Logistics & Executive Projects - Update and organize the owner's to-do list, prioritize and complete tasks based on their importance, track project statuses, follow up on action items, and assist with business-critical projects that arise

Administrative Excellence - Plan and coordinate travel, research topics as needed, handle confidential information with absolute discretion, manage documents and files systematically, and assist with planning for the year and main events including personal life calendar overlap
