Job Title: Executive Assistant to SVP Finance & Operations and Chief Commercial Officer

Reports to: SVP Finance & Operations and Chief Commercial Officer

Job Purpose

The Executive Assistant to the SVP Finance & Operations and Chief Commercial Officer performs a wide variety of complex and confidential administrative duties, including calendar management, travel organization, meeting coordination, and managing corporate travel. The Executive Assistant uses initiative, tact, judgment, confidentiality, as well as strong interpersonal and organizational skills to support both executives and ultimately the broader objectives of the organization.

Job responsibilities

Tasks And Responsibilities

  • Supports the SVP Finance & Operations and Chief Commercial Officer by carrying out administrative assignments accurately and in a timely manner as directed.
  • Composes, edits, and distributes correspondence according to established guidelines, including email, memos, and PowerPoint presentations.
  • Provides executive-level support to senior management, internal and external business partners to ensure all information is addressed in a timely manner.
  • Reconciles, tracks, and approves expense reports for the SVP Finance & Operations, Chief Commercial Officer, or other personnel as directed.
  • Maintains complex business and personal calendars, coordinates senior management meetings, multi-party audio/visual conference calls, and proactively brings together resources as needed.
  • Orchestrates all logistics of international and domestic travel for the SVP Finance & Operations and Chief Commercial Officer as directed.
  • Prepares detailed itineraries and agendas regarding transportation, hotel accommodations for executive team and designated visitors.
  • Plans conferences and on-site/off-site meetings, negotiates venue rates, facilitates all equipment, and ensures attendees and presenters are equipped with their requirements.
  • Screens telephone calls and personally provides requested information or refers to other staff.
  • Establishes and maintains comprehensive records, reports, reference materials, and communications; Records actions on sensitive issues and releases information to authorized parties as directed.

Travel Management

  • Lead and oversee all aspects of corporate travel management, serving as the primary point of contact for travel-related inquiries and coordination between our travel agency and Dior employees.
  • Develop, implement, and continuously refine travel policies, ensuring compliance with budget parameters while identifying cost-effective travel solutions.
  • Ensure smooth travel process approval.
  • Optimize and streamline travel booking processes to improve efficiency, consistency, and employee experience.
  • Advise employees on travel policies, procedures, and approval requirements, ensuring adherence while proactively addressing questions, concerns, and travel-related challenges.
  • Maintain current knowledge of industry trends, supplier developments, and travel regulations to adapt strategies and enhance the overall travel experience for employees.
  • Any other tasks as assigned from time to time.

Profile

  • A minimum of 5 years of C-Level Executive Assistant experience.
  • Ability to remain composed in difficult situations.
  • Ability to perform routine and specialized duties at assigned times and for long periods of time when necessary.
  • Ability to time manage and organize tasks based upon shifting priorities.
  • Ability to work independently and make sound decisions.
  • Ability to demonstrate effective verbal and written communication skills.
  • Strong telephone technique etiquette and communication skills.
  • Ability to demonstrate tact and discretion in preparing, disclosing, and handling information of a confidential, controversial, and sensitive nature.
  • Ability to establish and maintain good working relationships with all levels of the organization and external parties.
  • Ability to operate all equipment and programs necessary to perform the job.
  • Ability to travel as needed.

Additional information

The selected candidate will be offered a salary within the range of $100k – $125k annually, plus bonus eligibility. The salary offered will be dependent upon the candidate’s relevant skills and experience.
