Executive Assistant

Job Title: Executive Assistant to the VP of Operations

Reports To: VP of Operations

Position Overview:

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative support to the Vice President of Operations. This role requires strong multitasking abilities, excellent communication skills, and a high degree of professionalism and discretion.

Key Responsibilities:

Administrative Support:

  • Manage complex calendars, schedule meetings, and coordinate appointments for VP of Ops.
  • Handle travel arrangements, expense reporting, and itineraries.
  • Prepare reports, presentations, and documentation as needed.
  • Organize and maintain files, records, and confidential information.

Operational Assistance:

  • Assist in organizing and tracking key projects and initiatives across Operations.
  • Help in compiling and maintaining operational metrics and performance data.
  • Monitor action items and follow-ups to ensure timely completion.
  • Coordinate internal communications, announcements, and event logistics.

Cross-Functional Liaison:

  • Serve as a key point of contact between Operations and other departments.
  • Communicate and follow up with stakeholders to support project delivery and information flow.
  • Attend and take minutes during departmental or cross-functional meetings.

General Office Management:

  • Ensure supplies, equipment, and office needs are proactively managed.
  • Assist in organizing company events, team meetings, and offsites.

Qualifications:

  • Bachelor’s degree or equivalent experience in Business Administration, Human Resources, or related field.
  • Minimum of 2 years of experience as an Executive Assistant or similar administrative role.
  • Excellent organizational, time management, and multitasking skills.
  • Strong written and verbal communication abilities.
  • High level of discretion and confidentiality.
  • Proficiency in Microsoft Office Suite and calendar management tools (e.g., Google Workspace, Microsoft Teams, etc.).
  • Experience supporting multiple executives is a strong advantage.

Job Type: Full-time

Pay: From Rs100,000.00 per month

Ability to commute/relocate:

  • Rawalpindi: Reliably commute or planning to relocate before starting work (Required)
