Executive Assistant

San Francisco based Executive Assistant

Hiring a Full-Time Executive Assistant at Flex Capital

Based in our San Francisco office, working from the office 3 days a week

Salary range: $115k to $130k depending on experience, plus comprehensive benefits

We’re looking for an exceptional Executive Assistant to support our San Francisco based CEO/General Partner and wider team at Flex Capital — a $200M seed-stage venture firm backing the most ambitious founders in tech.

This isn’t a typical EA or operations role. You’ll be the operational engine behind a fast-paced venture team — someone who thrives on making others more effective and keeping the wheels turning across everything from investor meetings to founder events.

If you’re deeply organized, love juggling moving parts, and want front-row access to how early-stage investing actually works, this might be perfect for you.

You’ll own:

  • Managing complex calendars and scheduling across multiple time zones for the SF based GP and a remote investment team
  • Prioritizing urgent tasks, helping triage inbound requests, and keeping the GP focused on what matters
  • Preparing the GP for key meetings — founders, LPs, portfolio companies — and handling follow-ups
  • Coordinating travel logistics and last minute changes to calendar (often with very little notice)
  • Running events and dinners for founders and operators
  • Acting as the gatekeeper and first line of communication
  • Ensuring nothing falls through the cracks across investing, ops, and personal logistics
  • Making sure the GP does not spend time on things that don’t make sense
  • Supporting our remote investment team members, helping to bridge the gap between our SF HQ and our remote team
  • Helping the investment team schedule meetings with founders, including finding availability on GP schedules
  • Supporting our VP of Finance & Ops across finance, legal and operations – assisting with the “back office” engine that helps make a VC fund compliant and successful
  • Managing website updates and improvements
  • Helping maintain our CRM system by recording meetings, running reports, etc.
  • Making the office in SF an amazing place to work from

You’ll get:

  • True visibility into how VC works behind the scenes
  • Mentorship from founders-turned-investors
  • Access to a deep network of startup founders, operators, and investors
  • The opportunity to grow into an operations, platform, or chief of staff role over time
  • A fast-paced, high-performance environment where A-players thrive

You are:

  • A low-ego collaborator who takes pride in being the operational “connective tissue” for the entire team, whether executing a GP’s priority or supporting a remote colleague's request
  • Obsessed with staying organized and two steps ahead
  • Energized by fast-moving, high-stakes environments
  • Excellent at anticipating needs before they’re voiced
  • Willing to work late when things heat up (especially during busy fundraising or event weeks)
  • Hungry to grow and take on more responsibility over time
  • Excited to be working in a small team, but comfortable working on your own and getting stuff done
  • A user of AI tools!

This is not for you if:

  • You prefer predictability and a 9-to-5
  • You need a strictly "one-to-one" reporting relationship: While you report to the GP, your success is defined by how well you support the entire team and the fund’s overall operations
  • You don’t like working on both professional and personal tasks
  • You’re uncomfortable being in a support role with high expectations
