Job Summary

Department Specific Responsibilities

  • Provides advanced administrative and operational support.
  • Plays a critical role in supporting executive leadership by managing complex schedules, coordinating communications, and ensuring efficient office operations.
  • Provides high-level administrative support to executive leadership to ensure the effective and efficient operation of the office.
  • Serves as a primary point of contact for internal and external stakeholders.

General Responsibilities

  • Conserves executive time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating communications on behalf of executive leadership.
  • Maintains the executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel arrangements.
  • Welcomes guests and customers by greeting them professionally in person or by telephone; answering questions and directing inquiries appropriately.
  • Maintains customer confidence and protects administrative operations by handling sensitive and confidential information with discretion.
  • Prepares administrative information and executive level reports by collecting, analyzing, and summarizing data and trends.

Qualifications

EDUCATION/ WORK EXPERIENCE

Required

  • High school diploma or equivalent (such as HSED or GED) with 7 years of experience in an administrative support role. OR
  • Associate's degree with 4 years of experience in an administrative support role. OR
  • Bachelor's degree with 2 years of experience in an administrative support role.

SKILLS

Required

  • Ability to simultaneously handle multiple priorities.
  • Strong verbal communication and listening skills.
  • Demonstrates ability to maintain confidential information.
  • Strong tact and diplomacy skills.

Preferred

  • Strong attention to detail.
  • High degree of professionalism.
  • Demonstrate discretion and sound judgment.
  • Exceptional organizational and communication skills in a fast-paced academic environment.

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Advertised Salary

$50,100.00-$53,040.00 annually
