Overview

A leading global investment advisory firm is seeking an experienced Executive Assistant to support senior leadership within its New York office. This role will provide high-level administrative and operational support to senior bankers and serve as a key partner in managing daily priorities, client interactions, and team coordination.


The ideal candidate is highly organized, proactive, and comfortable operating in a fast-paced, professional environment where discretion, attention to detail, and strong communication skills are essential.


Key Responsibilities

Executive Support

  • Manage complex calendars and scheduling for senior executives, including internal meetings, client calls, and travel logistics
  • Coordinate domestic and international travel arrangements, including detailed itineraries and last-minute changes
  • Process expense reports and maintain accurate documentation in accordance with firm policies
  • Assist with preparation and coordination of client meetings and marketing materials

Team & Client Coordination

  • Serve as a point of contact between executives, internal teams, and external clients
  • Coordinate meeting logistics, conference calls, and video meetings across multiple stakeholders
  • Communicate regularly with other executive assistants across offices to ensure seamless scheduling and coordination

Operational & Administrative Support

  • Assist with CRM tracking and administrative systems used to manage client relationships and internal activity
  • Support organization of client events, conferences, and team gatherings
  • Maintain organized documentation and assist with reporting or administrative projects as needed
  • Identify opportunities for process improvements to enhance team efficiency


Qualifications

  • 5+ years of experience supporting senior executives in a professional services environment (investment banking, consulting, private equity, law, or similar)
  • Strong calendar management and travel coordination experience
  • Excellent organizational skills and ability to prioritize competing demands
  • Strong written and verbal communication skills
  • High level of professionalism and discretion when handling confidential information
  • Proficiency in Microsoft Office (Outlook, Excel, PowerPoint) and experience with CRM or expense platforms preferred
