Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to senior leadership. Responsibilities

  • Manage and maintain detailed calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
  • Provide top-tier executive administrative support by preparing correspondence, reports, and presentations while ensuring accuracy through proofreading and transcription.
  • Coordinate projects across departments by tracking deadlines, preparing materials, and facilitating communication among team members.
  • Handle complex travel arrangements including booking flights, accommodations, transportation, and preparing itineraries for executives.
  • Oversee office management tasks such as filing, data entry, bookkeeping using QuickBooks, and maintaining office supplies inventory.
  • Serve as the front desk ambassador by answering multi-line phone systems with professional phone etiquette and assisting visitors or clients as needed.
  • Support event planning efforts for company meetings, conferences, or special occasions to ensure seamless execution.
  • Utilize office software such as Microsoft Office Suite (Word, Excel, PowerPoint) for document creation and data organization.
  • Manage confidential information with discretion while maintaining organized filing systems both digitally and physically.
  • Assist with personal tasks or errands for executives when required to ensure their focus remains on strategic priorities.

Qualifications

  • Proven experience as an executive assistant or in a similar administrative role with a strong background in office management and clerical support.
  • Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace tools, and data entry systems like DocuSign.
  • Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
  • Strong typing skills combined with transcription and proofreading expertise for high-quality document preparation.
  • Experience with bookkeeping software such as QuickBooks is highly desirable.
  • Exceptional communication skills including phone etiquette and customer service experience to professionally interact with internal teams and external contacts.
  • Familiarity with multi-line phone systems, calendar management tools like Microsoft Outlook Calendar, and project coordination platforms.
  • Ability to handle sensitive information discreetly while maintaining confidentiality at all times.
  • Office experience that includes filing systems, front desk responsibilities, office supply management, and general clerical duties.
