Executive Assistant

We seek a person on site but with experience some remote work is possible

Duties

  • Manage complex calendars, schedule meetings, and coordinate appointments for executive staff with precision and efficiency
  • Handle incoming calls using multi-line phone systems, practicing professional phone etiquette and providing excellent customer support
  • Maintain organized filing systems, perform data entry, and ensure accurate record-keeping using tools like Microsoft Office, Google Workspace, and QuickBooks
  • Serve as the front desk receptionist, greeting visitors warmly and directing them appropriately while maintaining a professional office environment
  • Assist with bookkeeping tasks, including invoicing and expense tracking, utilizing QuickBooks or similar accounting software
  • Support office management activities such as supply ordering, filing, proofreading documents, and managing office supplies inventory
  • Provide personal assistant support to executives by managing travel arrangements, calendar management, and task prioritization
  • Deliver exceptional customer service by responding promptly to inquiries via phone or email and supporting client or patient needs in medical or dental settings if applicable

Experience

  • Proven experience as an executive assistant or in a similar administrative role within an office environment
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools
  • Demonstrated ability to manage multiple priorities efficiently with excellent time management skills
  • Previous experience with office management tasks such as filing, proofreading, and clerical duties
  • Bilingual capabilities are highly desirable to serve diverse client bases effectively
  • Familiarity with multi-line phone systems, front desk operations, and customer service best practices
  • Experience working in medical or dental reception is a plus but not required; relevant personal assistant experience is valued highly

Pay: $17.00 - $25.00 per hour
